INTRODUCTION
Nowadays, in integration trend, English has fast become the most widely used
language in the world of trade and commerce over the past decade. As a result,
having an excellent knowledge of English for business has become vital for success
in any employee’s career. Moreover, English is now a requirement for some critical
jobs, especially ones related translating activities. It is mainly because almost all
forms of business communication such as email, presentations, sales and marketing
and even corporate legal documentation are now carried out in English.
Acknowledge of the importance of English in business, I have decided to
choose Tan Long Material and Construction Joint Stock company as place where I
have conditions to learn, experience practical working environment, enhance
knowledge and skills of English. In fact, Tan Long., JSC is one of the most
prestigious companies that specialize in manufacturing and supplying building
materials, mainly produced bricks using manual production technology. At Tan
Long., JSC, the working environment is very flexible and people are also very
friendly. During my internship, they are willing to help, support and share practical
knowledge to help me develop skills at the maximum rate. Therefore, all of the
experience and meaning full lessons at Tan Long., JSC will be shared through this
Internship Report.

Logo of Tan Long., JSC with the main color of amber represents the color of
power. Amber color combined with ocher color that represents enthusiasm,
attraction, happiness, creativity, determination, attraction, success, encouragement
and stimulation. The logo consists of many amber and ocher rectangles assembled
together that expresses the solidarity of the company. Furthermore, rectangles are
also images of the company's main products, bricks. This image is close to
everyone. It makes the difference and the exclusive feature for the company.

1.3. Development of Tan Long., JSC
Starting as the State company, the company established in 1966 with the
purpose of producing materials to supply to construction companies in Thai
Nguyen. Through many stages of development, in 2001, the company has
transformed from the state ownership to a joint stock company named Tan Long
Construction and Materials Joint Stock Company until now on.

Besides, tunnel forming system and production technology have always been
improved over the years to meet the demand for construction bricks in infrastructure
development projects in Thai Nguyen and neighboring provinces.
In 2020, in order to implement the policy towards the elimination of manual
brick kilns causing environmental pollution with the approval and approval of the
Thai Nguyen Provincial People's Committee for the project "Public Transformation
technology of producing baked bricks (from hoffman to tunnel kilns), Tan Long.,
JSC has developed a new factory to produce baked clay bricks with flat-ceiling
tunnel kiln technology with production lines. Modern model using hill clay raw
materials, ensuring production output, requirements for environmental protection.
With the desire to provide customers with the best products for the projects,
Tan Long., JSC has constantly learned to apply science, technology, and
synchronous advanced equipment to the production of construction products with
the best quality.
1.4. Fundamental business activities of Tan Long., JSC
1.4.1. Objectives
Tan Long., JSC has been established with a main view to producing clay
bricks with flat-ceiling tunnel kiln technology and modern shaping equipment line
that uses raw materials hill clay. The company produces and supplies Tuynel bricks
for construction projects in Thai Nguyen and neighboring provinces.
Tan Long., JSC is always aware and cherishes the fundamental values, in
which the satisfaction and success of customers is the premise for future
development.

As one of prestigious companies in terms of material and construction, Tan
Long., JSC offer a wide range of products necessary for constructing activities

In particular, Tuynel brick production is the main activity which brings the
highest profits for the company. Tan Long., JSC uses Chinese modern production
line which is always at the forefront of advanced technology. This makes the
production stage both reduce human efforts and improve production efficiency.
Moreover, Tuynel bricks have high aesthetic value, durability, extremely good fire
resistance and low price, so people tend to prefer using Tuynel bricks more.
According to the report of December 2020, there are about 200,000 Tuynel
bricks sold out for both small and large projects in Thai Nguyen and neighboring
provinces daily.
1.5. Organization structure
1.5.1. Organization chart
The organization of management in any company is necessary and
indispensable, it ensures strict monitoring of the company’s business situation. In
order to perform well the management functions, each company needs to have an
appropriate managerial and organizational structure. For Tan Long., JSC too, being
a small company, the organizational structure is very simple and compact,
consistent with the model and nature of the company.

1.5.2. Specific tasks of each department
Tan Long’s organizational structure by function, each department will
undertake its own function. Each department’s tasks are clearly defined, so they will
have a high responsibility for their tasks in particular and the company in general.
- Chairman of the Board: Tran The Tung is the head of the company who
decides all operation at Tan Long., JSC. He is responsible for all activities of
company. He makes all of the strategies for company: Short-term as well as annual
plans, investment plans, organizational and management plans, …
- Accounting Dep’t: take responsibilities for payment to suppliers, accounting,
management and organization of accounting work. Conducting the collection,
processing and provision of information, summarizing reports, and planning on the
financial situation.

- Marketing Dep’t: is in charge of understanding customer needs, surveying
potential customers' behavior, segmenting the market, targeting, positioning branch;
is responsible for media management, event organization, creating an impressive
company image in the hearts of customers.
- Human Resources Dep’t (HR Dep’t): ensuring that all divisions and
individuals in the company perform the right functions and tasks, achieve efficiency
at work; ensuring the recruitment and construction, development, evaluation of the
staff according to the company's requirements and strategies.
- Sales Dep’t: is responsible for making business plans and implementing
plans effectively by project, by week, or month, or special event. This is a
department directly responsible for implementing marketing - sales activities to
customers and potential customers to achieve sales targets for the company.
1.6. General introduction about Administration Department
1.6.1. Duties of Administration Dep’t
When I came to the company, I was assigned to work in Administration Dep’t.
Administration Dep’t has following duties:
Translating documents
Answering incoming calls; taking messages and re-directing calls as required
Dealing with email enquiries
Diary management and arranging appointments, booking meeting rooms and
conference facilities
Data entry (sales figures, property listings etc.)

The table shows the business performance of Tan Long., JSC in term of
Number of customers, Revenue, Profit, during the period from 2016 to 2020. As a
whole, there was a lot of changes in these factors due to equitization.
To be more specific, the number of customer witnessed an upward trend from
2016 – 2017, slowdown in 2018 (51 customers) and started to rise in 2019 till now.
Consequently, it led to the dramatic increase in the Revenue by 30,689 million VND
from 25,032 in the period 2019 – 2020. Regarding Profit, in the initial years, the
company gained very small profits, even suffered a loss of 76 million VND in 2019
due to the costs of brand new production line and rebuilt kilns. However, the
situation was quickly improved with the strong growth in 2020 with 679 million
VND in profit.
Obviously, the above numbers partly indicate the positive development of Tan
Long., JSC as well as the efficiency in the management, operation and building
strategy of Mr. Tran The Tung in recent years. As can be seen, with the constant
effort of all staff and managers, Tan Long., JSC has become one of the leading
companies in the field of producing and suppling materials for construction
projects.

PART 2: INTERNSHIP PROCESS IN TAN LONG MATERIAL AND
CONSTRUCTION JOINT STOCK COMPANY
2.1. Detail information about internship process
Throughout the course of my four-week internship (from 22 December 2020),
I was given the opportunity to do tasks as a member of Administration Department.
Since the internship period lasts only four weeks, adjustments must be made very
quickly. By the end of 4 weeks I was ready to take over the planning and majority
of the Administration department.
During the internship, I work full-time from Monday to Saturday with
timeline:
- Morning: From 8:30 a.m to 11:30 a.m
- Afternoon: From 14:00 p.m to 18:00 p.m

2.2. The difficulties and learned lessons
2.2.1. Encountered difficulties in internship
During the beginning of the internship, it was confused with the punctual
working environment, regulations and newly assigned jobs. Although knowledge is
almost fully equipped in university, however, when I come to the real work, I still
feel confused and nervous because I need to get used to a range of new methods that
I have never known before. The working environment is not the same as what I
thought before as well what I learned in University. At work, a professional factor is
needed for an employee but that was what a graduate like me does not have. For
example, when I received a task, with the senior members they can do it quickly but
I have to spend a lot of time doing it. It really took me the first few days to adapt to
this English working environment. In the working day, it was so stressed out
because I have to deal with the daily workload that seems I cannot deal with some
difficulties.
Firstly, communication is one of the challenges that hinders my internship
time. I found it difficult to ask questions for fear of being judged. I became hesitant

when having questions. And I must have some skills like communication,
negotiation, team building... to address the problems.
Secondly, I have studied at Thuong Mai University for more than 3 years,
however, I did not have lot of chance to use office machinery such as printer,
photocopier, fax, … so I have to ask others help in order to use these machines.
Fortunately, they help and guide me with whole-hearted attitude so I can learn more
quickly.
Thirdly, it was quite hard for me to put my English knowledge into practice. I
had to deal with many documents per day, however, I did not know many
specialized vocabularies so it causes some difficulties for me in translating
documents.
Fourthly, the greatest difficulties I had was business professional knowledge,
because I only learned theory of business at university without coming face to face
with working reality. Therefore, putting a business theory into practice was my
hardship for me to go through the mill, I had to consult with my supervisor.
2.2.2. Learned lessons in internship
In the internship, I learned a variety of lessons. And I think that would be a
good stepping stone for my future career.
First of all, I have more good working relationships. Everyone in the company
is very friendly, nice and kind. They always gave me a hand with my assignment if
necessary. From the smallest thing as instructing to my workplace to the bigger
thing like solving customer complaint. They are all very enthusiastic and willing to
help me. We are not only a purely working relationship, but also really good friends.
Secondly, I can broaden my mind, widen my knowledge after four-week
internship. Some skills like: presentation, persuading, communication is better than
before. For instance, when I was a student, my weak point is presentation. I cannot
speak fluently in front of everyone. But now, I can be confident to present a speech

among crowds, show my points of view, and even give customers advices in
English.
Thirdly, I took part in some outdoors activities of the company in internship,
so I know how to work with others in a group. I improved teamwork skills,
supported and helped each other accomplish targets. I realized that unity is the first
element that helps my team win.
Next one is that my English was better and better than before. Because the
company’s teachers are all native teachers, I have the opportunity to improve my
English skills as well as some other special skills in business. Every day, I got in
touch with many foreign friends, international environment. That was the reason
why my English skills have improved very quickly and greatly. I have chances to
practice English, write the business correspondence, use English as a
communicative tool. I see that I learned about it at Thuong Mai University. This
task relates to my major and it is really useful for my future career.
Besides, my Microsoft office skills have been applied during internship
process. I am familiar with the worksheet, payroll, excel, word, power point … It is
not only theories in books but also has become a special tool to help me complete
my tasks.
Thanks to the enthusiasm of manager and members in Tan Long., JSC, I have
more opportunities to use English frequently. I can take advantages of my business
English what I learned at Thuong Mai University. Through the internship, I
understand my position as well as my strong and weak points in my future journey.

PART 3: THE REALITY OF USING ENGLISH IN TAN LONG., JSC
3.1. The reality of using English in Tan Long., JSC
3.1.1. The advantages
English is mainly used in Administrative department. During my internship, I
noticed that the staffs in the Administrative department is quite in English skills like
reading and writing. Staff members in other department in the company as
Marketing and Accounting also know English but only use basic English
communication.
In Administration department, translating documents is the main task for all
members. The documents can be legal documents, reports on production lines or
import and export problems in foreign countries related to materials and production
activities.
3.1.2. The disadvantages
After my internship in Tan Long., JSC, I realize that employees must face up
with troubles about English as some following points
Firstly, the company focuses on providing products for households and
projects in Thai Nguyen and neighboring provinces. Furthermore, the company
specializes in Tuynel brick production and is a wholesaler of construction materials
and other installation equipment. Therefore, English is not really popular at the
company. English is most commonly used in the main Administration and
Marketing departments (concentrated in the staff working at the website).
Secondly, in each department, English skills of the employees are not equal.
For example, employees in Administration department and Marketing department,
Training Department are better than Accounting Department or Human Resource
Department because of different characteristics of each one.
Thirdly, some of these staff in Tan Long., JSC, they still have the errors when
using the word of majority. Mistakes may be part of the process of working out

grammar rules of English or they may be a fault in pronunciation. That matter has
brought many obstacles for the company when they need to translate documents or
other activities.
3.2. Proposing solutions to improve the quality of using English in Tan
Long., JSC
After the internship, I realize that Tan Long., JSC has some problems that are
necessary to be implemented to improve the quality of using English in the
company. The first one is the company should make sure the quality of basic
English skills of all staffs that must meet the basic requirements of the company.
Thus, the English entrance test needs to be reasonable and useful to consider the
candidate’s ability whether they can meet the job needs or not because English
plays an important role in business productivity.
Furthermore, the company can control their staff’s English abilities by
periodic tests. This test can be applied in many forms such as writing test, interview,
record or build games that use English for all of the company. Writing and reading
are needed focusing as these are the most important skills for the Administration
department. There are staffs who are already at basic English level so they will be
arranged to work in pairs with specialists to gain experiences and communicate with
foreign customers.
The company has rewarding policies such as extra bonuses for individuals
with good performance, and increased the wages for employees who have good
qualifications and English ability in the workplace. This policy will create
motivation and encourage employees to work and improve their English, especially
in the Administration department where the staff use English for translation.
These are some solutions to improve the quality of using English in the
company I suggested and the most important thing is the hard-working attitude of
all employees.

PART 4: SUGGESTED THESIS TOPIC
TOPIC: Common difficulties in translation of the terminology in legal
documents of business encountered by final-year students of English faculty of
Thuong Mai University.
REASON: Most of final-year English major students at Thuong Mai
University said that they are really afraid of translating the terminology in legal
documents which is very popular in business now. Therefore, I want to help them
find some solutions to improve their translating skills.

CONCLUSION
After about one month of training process at Tan Long., JSC, I had finished
my internship successfully with the careful guidance of my supervisor Mr. Tran The
Tung, as well as the warm – hearted help of other employees in the company. They
guided and encouraged me that I could adapt and get used to the working
environment and culture at the company. These experience will make me no longer
surprised when applying for a new job in the future.
With the permission of the Faculty of English at the Thuong Mai University
and the board of directors of Tan Long Material and Construction Joint Stock
Company, I had the opportunity to learn and research about the company in general.
Through the internship with the enthusiastic guidance of all employees in the
company, I had the opportunity to work and summarize this internship report.
