THE COMPARATION OF GOOGLE
AND MICROSOFT OFFICE 365
- RESEARCH REPORT INTRODUCTION:
Nowadays when society develops constantly and technology is one of the main keys that contribute to
this development. The early days when technology is not as good as modern-day people have to do all
the calculations one by one, they have to spend a lot of time to analyze the data, information. Thanks
to technology, human beings can analyses the data much faster and easier. Microsoft Office 365 is
one of the most well-known and earliest applications suites. It is developed by Microsoft Corporation.
To meet different needs of many people Microsoft Office 365 has many applications such as
Microsoft Word, Access, Excel, PowerPoint, Publisher, and Outlook. In October 2018 Microsoft
Office 365 has 155 million users (Redmond 2018). As we can see Microsoft Office 365 contribute a
great influence for businesses and students in present, contact each other, and analyze the data,
information (Carutasu & Pirnau 2017). Moreover, besides Outlook, to help the users work together
easier Microsoft Office 365 also has Skype, SharePoint for users to communicate and share their
works with each other (Carutasu & Pirnau 2017). In addition, to be more convenience for Microsoft
Office 365 produce a cloud server which called OneDrive for their users to save their works online.
By the reasons of work now can be saved online and can be accessed in a different device thanks to
OneDrive, it is very convenient for students and workers, thus, they don’t have to bring any USB or
external hard drive to continue their works no a different computer. Finally, to remind the users, in
Office 365 Outlook also has Calendar for us to set a reminder to prevent forgetting and being on time.
To sum up, this report is about the impact of Microsoft Office 365 to business. What are its
competitive advantages while compare to Google Suite and what should Office 365 have to improve
on.
ANALYSIS:
1.Benefit:
In terms of benefits, Microsoft Office 365 brings many positive effects for RMIT University. There
are 3 main advantages which are Data Storage, Security and Team Cooperation.
+) The data storage:
There is Onedrive, which is a storage application, can help RMIT users keep many documents, files
and slides that support their education and work as it contains a free tier that provides 5GB of storing
data and the available storage could be upgraded to 50GB, but Office 365 Home or Personal
subscription including 1000GB (1TB) of storage for up to five users is really a good deal(Ed Bott
2018). Moreover, during the use of applications such as Words, Excel, Access and Powerpoint, all the
latest adjustments and data will be automatically immediately saved in the system. Therefore, losing
data will never happen when users forget to save their work.
+) The security:
Regarding to security, Microsoft Office 365 is equipped with many secure applications. All the
advertisement from any source are banned in Microsoft Office in order to protect the users private
information and prevent them from being bothered. Moreover, the right to access to Microsoft
accounts, personal and business data is only for the users and people selected by the accounts’
owners. That what is seen and by whom is controlled by both an administrator and a regular user
(Benjamin Niaulin 2019). Depending on the organization and culture, only the selected people could
share the same data about themselves or on their usage. The data is often imported from Active
Directory or entered manually by users to create a complete profile. It's often valuable to have as it
enabled you to build rich solutions that interact with the data as well as Office Graph to make better
connections (Benjamin Niaulin 2019).
+) Team cooperation:
In terms of collaboration, Microsoft Office 365 has many convenient applications for team-work.
RMIT University provides Microsoft Office 365 accounts for the students to help them keep in touch
with their teachers, their teammates and keep up with any updating news, events and workshops from
the school through Outlook 365 which manages all the mails. Besides that, when working on group
assignments, RMIT students could easily share files and collaborate with their teammates by using
Words, Excel, Powerpoint and Access for the best results. Working together this way, only the
selected people in a group can access and edit their own shared files. While an RMIT student is
working, his or her teammates are able to watch his or her work so they could help him or her
immediately no matter where they are because Microsoft Office 365 enables its users access
anywhere as long as they can connect to the internet.
2.The top three most commonly used applications:
The Microsoft Office 365 is a multifunctional suite, which can be used in a variety of ways.
People can easily access to Microsoft Office 365 to use Microsoft applications online such as
Microsoft Office Word, Microsoft Office Excel and Microsoft Office PowerPoint. And now,
Microsoft Office is developed to be suitable to accomplish other functions. There are three
most commonly used applications of Microsoft Office 365 are Outlook, OneDrive, and
Word.
To begin with, Outlook was launched on July 31, 2012 and widely used now. The Outlook is
an email client portion of Microsoft Office Suite. Similarly with other Suites, Outlook gives
us an opportunity to communicate, organize, track and teamwork. This organization works
within an email account then you can interact and contact people through that email
(Microsoft). Outlook receives the information up to 15 GB storage and Office 365 Personal
gets 50 GB of space (Microsoft). Therefore, students can send an email with attached files
such as documents, images and recordings. Within Outlook, it is easy to book an appointment
by Outlook calendar. Outlook Calendar is functional part of Outlook but it is a separate
application (How-to Geek, 2019). By clicking, an appointment is booked with particular
place, time and participants.
Secondly, OneDrive is one of the most common applications of Microsoft Office 365. This
application was created in 2008 and becomes the useful feature of Microsoft Office.
OneDrive is a cloud drive that stores, protects and shares files from everywhere on people’s
devices (Microsoft). Microsoft Office OneDrive sets up when having and email such as
Outlook or given email from a business. People store their files, including documents, photos
to the cloud and they have an ability to share to other people. The storage of OneDrive is up
to 1TB with a personal account and in control storage with business account (Microsoft). In
2019, OneDrive is developed in Sharepoint function. It allows users to have a clean, clear and
simple interferences that help users attach the most import files. Plus, other smart movements
in OneDrive is added into this application to make it more and more available to the modern
world and full fill the people’s needs.
Last but not least, Word was familiar since the early age. Microsoft Office was first launched in 1983
(Encyclopedia Britannica). And now, Microsoft Office Word 365 has been more modern than before.
It is true that Microsoft Office is developed every year to catch up with the modern world, we easily
recognize that there are many versions of Word, such as Word 2003, Word 2010, Word 2013. The
main function of Word is a tool helps user to create a text document that can be saved, saved as a PDF
or printed on paper (Techwealla). Microsoft Office Word 365 allows user to create text document
online that is saved and updated automatically. When using the Microsoft Office Word 365 online, the
document is also saved in OneDrive, they link together to protect and storage the text document.
3.Compare and contrast
About Google G Suite, they focus on the simple structure with the simple design, simple
applications for users to use while Microsoft Office attach special importance to provide the
version and application which had feature-heavy. The thing that made Microsoft Office more
special than Google G Suite is Microsoft parallel develop the website version and the desktop
application while Google G Suite just supply the website browser version. The basic
similarity between these two big fishes is their users using both Google G Suite and
Microsoft Office 365 can perform the business task “in the cloud”. Moreover, both G Suite
and Office 365 provides many applications which have the same roles such as a spreadsheet
(Sheets and Excel), Document (Docs and Word), slideshows (Slides and PowerPoint) and
email (Gmail and Outlook).
Google documents is easier to use than Microsoft Word online. According to Principled
Technologies testing in users that using laptop computers and smartphones, Google Doc
provide faster collaboration experiences with fewer errors than Microsoft Word Online (with
88% lower error rates). Moreover, users can create a new document in up to 48% less time
with Google Doc and with Google Doc, user can share a document via email in up to 56%
less time with computer and 77% less time with mobile devices. Not only the time via email,
Google Doc also insert more text and image than Microsoft Word Online. For example,
Google Doc can insert 1MB of text and a 22MB image. These example shown that Google
Doc is easier to use than Microsoft Word.
REFLECTION:
Benefits in study:
Thanks to the development of technology, the Microsoft Office 365 has been developed and
expanded to school environment with many helpful applications. Carol S and Holzberg
(2014, p22) presented that all of the work is saved to OneDrive which is to store documents
or related files and uploaded promptly in real time. This contributes to students who can share
and work the assignments together in groups without any outside meetings easily. For
example, according to Journal of Information System & Operation Management, OneNote is
an outstanding tool in order to help both teachers and students get better in education. It is
clearly seen that there are some useful teaching implements so that teachers may set up a
workspace and give its feedback for each student. Furthermore, lecturers also may create
collaborative space for all members. These applications play an important part in improving
the quality of lessons so as to meet the demands of students. As a result, both of them achieve
great success in gaining more knowledge at school.
Currently, Rmit university made a decision that is to start to change the education system,
from Google G Suite to Microsoft Office 365. The reason why Rmit decided to use Office
365 is that there are some top features such as Microsoft Word, Microsoft Excel, and
PowerPoint that we have used for work and study on a daily basis. It is mentioned on Tech
and Learning that users can select from about 14 templates in Word, more than 400 functions
in Excel, and roughly 50 transitions in PowerPoint, compared to Google G Suit which has
less tools than Microsoft. For instance, in the past, Rmit students used Google Docs, Slides
for writing reports and presentations in group or individual due to the fact that we can share
group assignments with other teammates and work together. However, we still have to
download as Microsoft Word, or Excel so as to submit on Canvas later, which leads to some
malfunction and format errors. Since there are a number of transitions that Google Slides are
available but not on Microsoft PowerPoint, this results in many difficulties for students’
presentation. Therefore, if they do not check and edit documents carefully after downloading,
it will affect their grades and performance in class. Moreover, users have to pay an expensive
fee, about $60 dollars per year for personal, if they want to utilize the copyright Microsoft
(Microsoft Office website). This cost is too expensive for students, but Rmit university
creates an opportunity for students and staff to use these copyright tools for free.
Recommend based on theory (data visualization, usability, heuristic)
It is true that there is a remarkable rise in the number of users who are both adults and
children has prevalently utilized technological devices in work and study. This is due to the
fact that the Microsoft Office 365 has vied with other companies, especially Google G Suite
that is the biggest competitor. In fact, Microsoft Office company had been launch in 2011,
according to Rivers. It carries on to evolve, add more numerous features. For instance, apart
from Microsoft Word, Excel, and PowerPoint, there are many functions such as OneNote,
Planner, and SharePoint that are created so as to fulfil the users’ requirement. Therefore, on
the design heuristics, Office 365 needs to have a simplified interface for new users to interact
with because its applications have a complicated interface and layout. Microsoft Office 365
should redesign their layout in order to have an aesthetic and minimalist design. However,
advanced users will still stick Microsoft Office owing to the rich features which they need
and they used to it (Ciccarelli.D). Since there are tons of diversified features, users may get
lost and make errors. To handle these problems, the Microsoft Office 365 needs to have more
error messages, precisely indicate the problem, and constructively suggest solutions.
Currently, international firms always prefer new employees with useful soft skills like
research, presentation, and communication. In particular, teamwork skills play a crucial role
in achieving huge success in work. This is the reason why all of universities have created
assignments and presentations in group in order that students have more opportunities to
learn and practise how to complete assignments with other teammates effectively. To address
this issue, there are a great number of implements for users to choose between Microsoft
Office 365 and Google G Suite. For example, based on data visualization, both Microsoft
Word and Google Doc have the capability for users so as to insert many kinds of chart such
as bar, column, pie, and line in making reports. However, another version of Microsoft
Word, Microsoft Word online do not have that feature. Moreover, Microsoft Office 365
should develop a real-time collaboration like Google G Suite which allows users to work with
each other at the same time even though they are in a different location (Ciccarelli.D). Time
of changes, the person who made the changes will be tracked by Google and Google will
have a list of history for users to view the changes so that they can check the history and
change the document easily (Ciccarelli.D).
