Cleverbox Software: Problems & Options
Executive Summary
Talking Software carried out an analysis on the IT estates of the two businesses and the high-level
summary is as follows:
Problems: Talking Software has noted that:
i. The IT infrastructure of the two businesses requires consolidation into a single data centre and
database. There is an opportunity to reduce cost through server consolidation. Communications
infrastructure is compatible (MPLS-based) but will require some capacity increases on certain links
to ensure that the end-users’ experience of using the applications is acceptable.
ii. Server Operating Systems are incompatible being Windows and Linux. Desktop Operating
Systems are also a problem because Windows and Mac OS are used.
iii. Software Licenses: All departments have been purchasing their own licenses and there are lots of
agreements with lots of vendors and no volume discounts. There are no coordinated upgrades
leaving some users and departments without the software functionality they need. This is all leading
to high numbers of calls to the IT Helpdesk and significant training costs.


iv. At a departmental level there are the following issues:
a) Human Resources: Cleverbox uses HR Pro as its HR application in real time, whilst Smart Route
runs their HR activities using Microsoft Excel updated monthly.
b) Finance: Cleverbox Finance is struggling to integrate with your own HR, Sales and Procurement
applications due to different data formats and scheduling. This is leading to delays in Payroll for
your own staff, late billing to your clients and late invoice payments to suppliers. Smart Route uses
the Sage Release 2.0 which you will not be able to integrate to.
c) Manufacturing: Cleverbox uses a self-developed application that integrates well within the
business but will be completely incompatible with Smart Route. Although it is integrated, the
functionality is limited and it provides very little management information.

Options: Given the observations above, we believe the options for Cleverbox management are to:
1. Invest in Smart Route to change their operating system and replace their applications to mirror
Cleverbox. A second stage would then consolidate the information of both businesses into a single
database. This solution will support your business for the next three years. The Cost of Option 1 will
be one year’s profit and it will take two years to execute.
2. Scrap all the legacy software in both businesses and invest in an off-the-shelf ERP (Enterprise
Resource Planning) system. This will provide a common database and synchronized data across the
combined business. Modular software applications for each department allow every department to
store and retrieve standardized data in real-time. This option is future proof. Option 2 will cost 2
years of profit and take one year to implement and will support your business for seven years.

Contrasting Ideas
1. But is a conjunction which contrasts ideas in one sentence.
E.g. At the beginning of 1982 the USSR was estimated to have had 25 million telephone sets, but
East Germany, Poland and Czechoslovakia had just over 3 million each.

commonly used at the beginning of a sentence but it can also come in the middle or at the end.

offering this service to the general public.
4. Even though/ although, despite/ in spite of
+ Despite/ In spite of can be used to contrast ideas of concession in one sentence.
+ Despite + Noun or Gerund

E.g. Despite being remote, the team on the ground now have the same capabilities as
London, another example of how telecoms and IT can support business that operate in hard-to-reach
places.
+ Despite/ In spite of the fact (that) + clause
+ Even though is a conjunction which is often used in informal speech instead of although.
It puts greater emphasis on the contrast between the ideas.
E.g. Although the company has improved its customer service, the sales have not much
increased.
5. Unlike + noun/ noun phrase.
E.g. Unlike 2G service, 3G offers subscribers much faster transmission.
6. While/ whereas
While and whereas are used to connect two clauses and contrast the ideas in the same
sentence.
E.g. Two Canadian manufacturers, Northern Telecoms Ltd. and Mittel Corp., will capture
28% of the 2.8 billion dollar market in PBX systems sold in the USA in 1983 while Japanese and
European countries will grab an additional 22%.
The central processing unit (CPU) in ring and bus topologies can be located anywhere in the
network, whereas it controls every operation in a star network.

Showing relationship between ideas by using Time Clause
In ESP writing skills, understanding and using Time Clause effectively are among the most
important requirements to gain a high score.
1. Time clause
Study these sentences.
When two conversations take place at the same time, 32,000 samples have to be transported
per second.
This circuit must be terminated when one of the subscribers decides to replace his or her
handset.
* The When clauses in bold are termed Adverb Clauses, and as they show the time relationships
between the two clauses in a sentence, they are preferably called Time Clauses.

* There are numerous words used to introduce a Time Clause, such as: after, before, while, as, by the
time, since, until, as soon as, once, whenever, the first time (that)… Each has a meaning that is
notably different from others.
E.g. We subscribed to the VTV Cable as soon as the line was installed in our area.
(as soon as = almost immediately)
Since mobile phones were first introduced in Viet Nam in the 1990s, they have become a
more and more popular means of communication.
(since = starting from the 1990s)
* The Time Clause can begin a sentence, separated from the Main Clause by a comma (,) or end it
without changing the meaning of the sentence.
E.g. When Apple trademark becomes famous, Apple’s core product lines are the iPhone smart
phones, iPad tablet computers, iPod portable media players, and Macintosh computer line.
* Tenses of the verbs in Time Clauses are normally in Simple Present or Present Perfect even when
the clauses refer to actions or intentions in the future.
E.g. When there is an electricity cut-off, the company will use the backup power supply.
2. Changing Time Clauses to Modifying Phrases
Changing Time Clauses to Modifying Phrases can be done ONLY when the subjects (the doers) of
the two clauses are the same.
E.g. After the UK Viewdata has passed an experimental and testing stage, it is now available in
many countries.

Further guidance
Let’s imagine a real life situation. You are both very excited because you now have a laptop to use
for your study and entertainment. Either of you can start first by an exclaimation or a question, eg.

During your conversation, you should argue and/ or agree on at least three applications to download
first, i.e. one for each user’s major and one for shared relaxation.
