CHAPTER 1: INTRODUCTION
1.1.Rationale
Viet Nam is being in the Period of opening gate. Our country is striving to
integrate into the global development in various fields such as economy, culture,
policy, education etc. Therefore, recently, a number of foreign companies and
organizations have invested and established offices, factories and cultural exchange
dens in many cities across the country. With the desire to promote and polish brand’s
image of the business in recent times, a new industry was born- Event organization.
Even though it has just emerged and developed in a short time but it has showed an
incredible development.
Event organization is a field in which the company in charge has responsibility

to make the events happen in a perfect way for helping enterprises branding and
products. It also provides an opportunity for enterprises to meet and create
relationships with media or public authorities to strengthen good ties for enterprises.
Organizing Events is not just a simple task. This work includes hundreds of
jobs and requires high carefulness because just one small mistake can affect to
organizing group and harm to customer’s images and reputations of the company.
Especially international events require organizers must have good knowledge about
cultures, politics, and foreign language. Thus, using English - the most international
language fluently can help event editors work with foreign clients easily and enhance
their own professional organizations as well as where they are working.
However, to use English smoothly in this work is not easy at all, because this is
a new industry with many specialized words and varied in each stage of the work.
Each stage is a set of words and different usages. To get further understanding of the
language used in the event, I chose to study the subjects “Using English in organizing
events at Sao Minh Business Hotel”.

1.2.Aim of study
With the goal of enhancing and developing skills in using English in
Organizing Events, the topic helps to improve the quality of services as well as
professional qualifications of the Event editors.
1.3. Scope

The Research focuses on Lexical choice and sentence types in event contracts at
Banquet Event Department of Sao Minh Business Hotel.
1.4. Methodology
Topic has developed based on self-observation at work place and with the
collection of information on the Internet, documents, books, and contracts of Banquet
Event Order Department.
1.5. Theoretical background
1.5.1 Definition of Organizing Events
Event organizing is the process of planning festivals, ceremonies, competitions,
parties, concerts, or conventions. Event planning includes budgeting, establishing or
alternating dates, selecting and reserving the event sites, acquiring permits (alcohol
permits, insurance licenses, etc.), coordinating transportation and parking. Event
planning also includes some or all of the things that depend on the event: developing a
theme or motif for the event, arranging for speakers and alternate speakers,
coordinating location support (such as electricity and other utilities), arranging decor,
tables, chairs, tents, event support and security, catering, police, fire, portable toilets,
parking, signage, emergency plans, health care professionals and aid stations, and
cleanup.

Event Organizing is not simple work. It is hard to hold the domestic events but
it is more difficult to do that internationally. With a question: When organizing events
with foreign partners, what is the prior we need? We need make a perfect plan,
arrange, contact with the related factors and search a fixed place, etc. However,
without suitable language, it is hard for all that processes. Together with culture of
foreign partners, they do not accept the carelessness, errors even the smallest ones in

work. Indeed, using international language – English - fluently helps to interact with
partners smoothly and effectively. Certainly, if an expert in event organizing can get
the whole idea, which foreign partners want to transfer, the result will be definitely
satisfied.
Moreover, an event organizer who is fluent in English will catch up many new
things in steps of preparation process from the vision to idea creation, and has capacity
to study more documents as well as events of other countries. Furthermore, getting
experiences and learning from the world - class events, the event editor will become to
be more professional and their job performances will develop incredibly. Besides,
using English well also helps event editors complete the important tasks such as
drafting contracts, service requests and related documents easily. Therefore, it will
help accelerate all progress of work as well as get the appreciation from foreign
partners.
1.5.3 Lexical choice
1.5.3.1 Archaic words
These words are no longer in everyday use or have lost a particular meaning in
current usage but sometimes they are used to impart an old-fashioned flavour to
historical novels or legal documents. Some, such as hotchpotch, reveal the origin of
their current meaning, while others reveal the origin of a different modern word, as
with gentle, the sense of which is preserved in gentleman. Some, such as learn and let,
now mean the opposite of their former use. These archaic words often appear in an
English event contract:

1.5.3.2 Synonyms
Synonyms are words with the same or similar meanings. Words that are
synonyms are said to be synonymous, and the state of being a synonym is
called synonymy. Such as “terms and conditions”, “make and enter”, “null and void”
or “by and between”.

Common related couple of words:
Nouns with suffix -er/-or are normally used for giver and nouns with suffix –ee
are for taker in contract like:
Lessor (a person who gives somebody the use of a building)

In Event Contract, besides a common meaning some words also have a
specialized meaning.

1.5.3.5. Collocations
A familiar grouping of words, especially words that habitually appear together
and thereby convey meaning by association.
Collocational range refers to the set of items that typically accompany a word.
The size of a collocational range is partially determined by a word's level of specificity
and number of meanings. There are about six main types of collocations:
Adjective + noun,
Noun + noun (such as collective nouns)
Verb + noun,
Adverb + adjective,
Verbs + prepositional phrase (phrasal verbs).
Verb + adverb.
In event contract, they use two types of collocation: verb + noun and adjective
+ noun (noun- contract).

Prepositions (or more generally ad positions, see below) are a grammatically
distinct class of words whose most central members characteristically express spatial

or temporal relations (such as the English words in, under, towards, before) or serve to
mark various syntactic functions and semantic roles (such as the English words of,
for).In the primary function is relational, a preposition typically combines with another
constituent (called its complement) to form a prepositional phrase, relating the
complement to the context in which the phrase occurs.
Events Contracts often have prepositions like: “according to”, the phrases as
“pursuant to”, “subject to” , prepositional phrases as: “in accordance with” , “in
compliance with” , “in pursuance with”, “in consideration of” , “in witness
whereof/thereof” .

1.5.4.2 .Passive voice
The passive voice is a grammatical construction (specifically, a "voice"). The
noun or noun phrase that would be the object of an active sentence (such as our troops
defeated the enemy) appears as the subject of a sentence with passive voice (e.g. the

enemy was defeated by our troops).
The subject of a sentence or clause featuring the passive voice typically denotes
the recipient of the action (the patient) rather than the performer (the agent). The
passive voice in English is formed periphrastically: the usual form uses the auxiliary
verb be (or get) together with the past participle of the main verb.

A reduced relative clause is a relative clause that is not marked by an overt
relative pronoun (such as who, which or that). An example is the clause I saw in the
English sentence “this is the man I saw”. (Alternative unreduced forms of this relative
clause would be that I saw, who I saw or whom I saw.) Another type is the "reduced
object relative passive clause"; a type of non-finite clause headed by a past participle,
such as found here in the sentence the animals found here could be dangerous.

Conditional sentences are sentences expressing factual implications, or
hypothetical situations and their consequences. They are so called because the validity
of the main clause of the sentence is conditional on the existence of certain
circumstances, which may be expressed in a dependent clause or may be understood
from the context. A full conditional sentence (one which expresses the condition as
well as its consequences) therefore contains two clauses: the dependent clause
expressing the condition; and the main clause expressing the consequence, called the
apodosis.

CHAPTER 2: FINDINGS AND DISCUSSIONS
2.1. General Introduction
2.1.1. Company Overview
Sao Minh Hotel of the company shares Investment Sao Minh officially
opened in December 2010. The hotel has 9 floors, 50 rooms equipped with highgrade, 100-seat restaurant located on 8th floor where guests can panoramic view
China Sea, Son Tra Mountain and the majestic peaks Ba Na. The hotel also
equipped with conference rooms for up to 100 seats with modern equipment to meet
the different needs of customers, to ensure the quality and effectiveness of the
workshop.
Sao Minh Hotel is located in the administrative center of Hai Chau District,
Da Nang City. From the hotel guests can walk to the luxurious restaurants,
amusement parks or stroll along the banks of the Han River to enjoy the fresh air
and admire the stunning architecture make icons the coastal city of bridges linking
the two banks of the Han River that each bridge is the architectural styles and
different such as Thuan Phuoc Bridge, Han River Bridge, Dragon Bridge, Tran Thi
Ly Bridge ... even back so sparkling and lively night under the lights of the city.
With a staff of professional, enthusiastic and friendly always wanted to bring our
customers the best service will certainly be the ideal choice for visitors from near
and far on the journey or travel to Da Nang the trip to attend the conference to be
held in Da Nang.
2.1.2 .Vision
In the future, Sao Minh Hospitality continues to develop and expand our system
of high-standard hotels in order to introduce originally and traditionally cultural
characteristics as well as the sincere hospitality of Vietnamese people.
The operation of Sao Minh Hospitality makes contribution through the creation
of working environment, the improvement of local laborers' living standard, and the
participation in activities of helping community.
On the occasion of Sao Minh Da Nang Grand opening celebration, Sao Minh
Hospitality officially calls for a campaign to establish Sao Minh Charity Fund, not

2.1.4. Banquet Event Oder Department
Banquet Event Oder - Sales Department is one of the most important
departments in 12 departments of So Minh Business Hotel. Beside planning and
organizing an event, it also has sale and marketing function. That mean all duties such
as finding customer, selling services, negotiating and drawing up contract belongs to
this department.
2.2. My job description
On 20th February, I was accepted to practice at Sao Minh Business hotel. I
worked as an event editor’s assistant at Banquet Event Order Department. My job was

to support an event editor follow their instructions when the event was hold. Besides, I
also had duties to design, handle some images, logos and some other design of hotel
used in events.
In the first stage (the first week – from 24th February to 3rd March):

I got acquainted with people in the department. I have learned internal
regulation of hotel and my department. I was introduced about the main functions of
department and about my job in internship period. Then the staffs guided me how to
contact with other department in the hotel and steps to organizing an event.
In the second stage (the next 2 weeks–from 3rd March to 17th March):
I also had the task of arranging, searching and receiving informations, event
contracts and sales of the hotel. I have practiced drawing up an event and sales
contract. At first, I read and learnt some form of hotel’s contracts then I edited new
contract basing on form of hotel’s contract and depending on requests of customers
and terms and conditions of hotel. Finally, the leader of department checked the
contract for me
In the third stage (the next 3 weeks – from 17th March to 7th April):
I made an event plan. Firstly, I received customer’s request about an event from
the leader. Then, I made some ideas about how to organize event include Décor, Stage,
Hall, Food, Light and Sound System etc. Continuously, I discussed the ideas with my
group (staffs in department) to decide which were the best ideas for an event. Finally,
we divided the plan into many parts; each person carried out a specific piece. My job

was contacting with other departments - Kitchen, Restaurants, Housekeeping,
Reception to take and confirm information or checking the status of the event to make
sure it was taken place as planned. Besides, I also had a duty to design, handle some
images, logos used in events and some other design of the hotel.
In the last stage (the 2 last week from 7th April to 20 April):
I researched the information from the real situation and took note them. I
discussed some experience I had learned during the internship with Mrs.Trang and
collected the necessary for my report. Finally, I arranged the ideas and wrote the
report.
2.3. Findings and discussions
2.3.1 Sentence Types And Lexical Choice In Event Contract
Beginning with a job of event organizing, the prior task is signing trade
contracts in order to guarantee both group of event organizing and customers. In
general view, it is an easy step but actually is an important one. Because of when

having a tiny error, the loss of group or political backwards will be happened.
Especially, the biggest obstacle in working with foreign partners is the language, the
event production and organization team should pay more attention to each step of
drafting and translating contracts to ensure the accuracy.
Event contracts are legal and essential documents for international transactions.
In order to have fully understanding of event contracts’ content, firstly, the event
editor must have a deep knowledge into how English event contracts are structured

and worded. As one of the varieties of legal texts, Event contracts not only share many
of those characteristics, but also contain certain others that may be unique to their
genre. The paper presents the structure of sentence types and lexical choice, which
event editors are likely to encounter when reading event contracts.
Working as an event editor’s assistant at Sao Minh Business Hotel , I can
compare the theory that I learnt at school and the practice. Because one of my duties is
related to event information and event contract, so I could recognize the variety of
sentence types and lexis in event contracts.
2.3.2. Lexis
2.3.2.1 Archaic words
Archaic words seldom appear in common English document. However, they are
often used in Legal document, contract, agreement etc.
Have a look at such examples as:
This agreement contains the entire agreement between the parties with respect
to the subject matter hereof… (Contract 2nd - page 14- section 4).
The word “Hereof” in this sentence means that this agreement contains the
entire agreement between the parties with respect to the subject matter mentioned
before.
The English language version of this contract will be legally binding in case of
any inconsistencies between this English version and any translation thereof.
(Contract 2nd page 14- section 6).
The word “thereof” in this sentence means that the English language version of
this contract will be legally binding in case of any inconsistencies between this English
version and any translation related.

The Company hereby appoints Rakuten Travel as agent to execute contracts for
Accommodation Services with Guests on behalf of the Company. (Contract 2 nd - page
18- Article 3 -1.)
The word “hereby” in this sentence means that The Company with the action of
appoints Rakuten Travel as agent to execute contracts for Accommodation Services
with Guests on behalf of the Company.
Whereas the lessor herein is the sole and absolute owner of all that piece and
parcel of the residential flat, xxxx [city name here] and whereas the lessee has
approached the lessor to demise the schedule mentioned flat on monthly rental basis
for residential purpose for a period of 11 months on the terms and conditions
hereinafter mentioned and the lessor has also herby agreed to demise the schedule
mentioned flat to the lessee on a monthly rental on the following terms and condition.
(Contract 4th – page 1- paragraph 2).
The word “hereinafter” in this sentence means that period of 11 months on the
terms and in a following part of these conditions mentioned.
The parties hereto have executed this Agreement on the date first above
written. (Contract 6th – page 1- section 3).
These words are used as adverb in event contract helping the contract become
more succinct and clearly.
2.3.2.2. Synonyms
In event contract, it is normal to have typical combinations of synonyms. Those
words can be nouns: “terms and conditions”, verbs “make and enter”, adjectives “null
and void” or even prepositions “by and between” These synonyms are often challenges
for translators because it is more common in legal document than in ordinary English
dictionary.
Even the words of this type are often used in Legal English and Event Contract
but in Vietnamese these words does not have legal feature meaning.

E.g.:
• This contract contains the terms and conditions on which Expedia may make room
available…. (Contract 3rd –page1- line 1).

“The terms and conditions” means: Things that parties join in contract must to do
which are setting by themselves for each other.
• This agreement is made on the 31st July 2013 between Sao Minh Business Hotel
and Agoda Company… (Contract 1st.)
“Between - and’’ means: the contract is made by A and B (party join in contract.).
• This agreement was declared as null and void.
“Null and void’’ means: the Terms or something in the contract become worthless if
something happen.
2.3.2.3. Using a number of related couple of words
In event contract, some nouns are added suffix –er/-or to show the giver and
taker more clearly.
For examples:
• Whereas the lessor herein is the sole and absolute owner of all that piece and
parcel of the residential flat, xxxx [city name here] and whereas the lessee has
approached the lessor to demise the schedule mentioned flat on monthly rental basis
for residential purpose for a period of 11 months on the terms and conditions
hereinafter mentioned and the lessor has also herby agreed to demise the schedule
mentioned flat to the lessee on a monthly rental on the following terms and condition. .

(Contract 4th – page 1- paragraph 2).
In this example, “Lessor” means the giver who owns the residential flat for rent.
• The lessee has agreed to pay the monthly amenity charges on or before the 5th
day of the every succeeding month for the demised property more fully described in
the schedule hereunder in the following manner. (Contract 4th – page 1- paragraph 3).
“Lessee” in this sentence mentions the taker who rents the flat. This person must
pay an amount of money to the owner of the flat following the terms and condition of
contract.
• That the lessor shall have full control over the supervision and management in
respect of the said flat and the lessee shall not, in any way, interfere with the lessor’s
right of maintenance nor the lessor interfere with the lessee’s rights of quiet &
peaceful undisturbed tenancy & occupation. (Contract 4th – page 1- paragraph 3).
“Lessor” is the giver who owns the residential flat for rent. He has right to control
and manage his assets (the flat) which is mentioned in the contract.
2.3.2.4. Popular word with specialized meaning

In event contract, some words are used with the specialized meaning, which usually
have a legal, or trade meaning.
E.g.:
• THE AGENT shall be liable for any damages by the guest or any incidental
charges incurred by the guest. (Contract 5th –page1 – 1.5).

The word “shall” in this situation means, “things must to do” that The Agent (AT
Reservation Network Pte Ltd) in this contract must liable for any damages by the
guest.
• You always have the possibility to increase your commission level in order to
improve your Ranking on the Sites. (Contract 1st –page 1 – 5 commission).
“Commission” is the money that the hotel paid to another party (Agoda Company) for
the booking or order online on Agoda website.
• Either party may terminate the Agreement, without cause, by giving the other party
a written notice one month in advance. (Contract 2nd – page 8 – article 13.3).
“Party’’ mention to 2 companies who made this contract.
2.3.2.4. Collocations
In contract some nouns are combined with the noun “contract’’ to create new words
suitable with legal contract.
E.g.:
• Honour contract: You are bound to accept the guest as a contractual party, to deal
with the reservation in accordance with all information contained in it.(contract 1 stpage1)
• If the written assurance is not received within 5 days after its request…then the
failure to furnish such a assurance constitutes a material breach of this contract.
(Contract 3rd – page 7- J).
• No modification of this binding contract upon Expedia without its prior written
consent. (Contract 3rd - page 7- K).
2.3.2.5. Prepositions, phrases, prepositional phrases
Events Contracts often have some special prepositions to make the contract more
clearly and tightly in legal.

2.3.3 Sentence types
2.3.3.1. Operative provisions
It is often expressed “The Parties Hereby Agree as follows …” or “Whereby it
is Agreed as follows …” or “now it is hereby agreed by and between the parties as

follows …” .This clause often appear in the beginning of the contract. It also contains
some archaic words and it is the sight to announce the appearance of terms coming in
contract.
E.g.:
Now, therefore, based on the mutual agreements of the parties in this contract, it is
hereby agreed between the parties as follows:
1. This agreement shall commence on the date of the execution.

In this example the clause “Now it is hereby agreed between the parties as follows”
appears to show that two parties agree to do terms and condition below.
2.3.3.2 Passive voice
Another feature of English Event contract is usually using sentences in Passive
voice. The event contract is usually draw up by two or more parties so the passive
voice appears with high frequency to show the parties or the terms need to do.
E.g.:
• The Commission shall be paid in accordance with the procedure and schedule

prescribed by Rakuten. (Contract 2nd – page 8- 4).
“Shall be paid” is the Passive Voice in Simple Future tense; it means that Rakuten will
pay the Commission.
• This agreement is made on the 31st July 2013 (contract 5th –page1).
“Is made” is the Passive Voice in Simple Present Tense, it means that two parties
make this agreement on 31st July 2013
• This agreement shall be construed in accordance with and governed by the laws of
Japan. (Contract 2nd –page 14- article 20).
“Shall be constructed” and “governed” is the Passive Voice, it means that the law of
Japan must construct in accordance with and govern this agreement
2.3.3.3 Reduced relative clause
A reduced relative clause is a relative clause that is not marked by an overt relative
pronoun (such as who, which or that).Event contract often has a reduced relative clause,
which make the contract more concise.
E.g.:
• The Licensee and the Licensor agree to enter into this Contract under the terms and
conditions set forth as follows.

The above sentence is reduced words “which is” from this complete sentence “The
License and the Licensor agree to enter into this Contract under the terms and

• You agree to honor all Hotel Fees at the amounts entered into the Expedia
System… (Contract 3rd – page4 –f).
The above sentence is reduced words “who are” from this complete sentence, “You
agree to honor all Hotel Fees at the amounts who are entered into the Expedia
System…”
• At Expedia’s request, you agree to promptly provide Expidia with a copy of your
annual operating license, if any, indicating your compliance with the health required
you to operate legally in Jurisdiction. …(Contract 3rd – page 6 – Health )
The above sentence is reduced word “which” from this complete sentence, At
Expedia’s request, you agree to promptly provide Expedia with a copy of your annual
operating license, if any, indicating your compliance with the health, which required
you to operate legally in Jurisdiction.
2.3.3.4 Conditional Sentences
It can be seen that one of the structures, which appears many times in Event contracts,
is Conditional structure If X then Y.
E.g.:
• If we suspend the service to your hotel, your Hotel will not be able to accept new
reservations. (Contract 1st – page 2- Suspension).
• If you do not want to be bound by the amended terms then you may terminate in
accordance with Agreement. (Contract 1st – page 2- Changes).
* In some cases, “If” is changed into “in case” or “in case of” or “in the event of” or
“in the event that”. Look at these examples:
• In the event that a User cancels a Reservation, is no-show, or makes any changes
to reservation without using the system, the Company will record such cancellation….
(Contract 2nd –page7- Article 11).
• In a case where the Company becomes unable to provide the Accommodation
service after the receipt …, the company shall immediately inform Rakuten Travel.

* In another situation, the reduced sentences beginning with “if” as “if required”, “if
possible”, “if any”, “if necessary” are quite popular.

2.4. Result and Evaluation
2.4.1. Result
After studying sentence types and lexical choices in event contracts, I realize
that sentence types and lexis used in contracts are very various and complex. Lexis,
which are used in event agreement, are uncommon words and usually have legal or
specialized meanings. Whereas the types of sentences used in these agreements are
popular and not complicated. Moreover, I learnt all about them from my college,
especially Condition sentence type and Passive voice that have high frequency of
appearance. In addition, I can also learn how to read and edit an event contract.
2.4.2. Evaluation
Through my internship period, I found that my strengths and weaknesses in
work as below:
I was able to adapt to the new environment rapidly and have good
communication skills. I was always willing to support my colleagues and other staffs
that is why many colleagues in my department said that I was sociable and very
friendly. I was also an active, enthusiastic and responsible person.

Firstly, I realized that I lack of vocabulary specialized in event and hotel. I also
need to improve professional knowledge about event and sales more. Finally,
knowledge in using some office software is another thing that I have to get more.

I have obtained many benefits from my internship at Sao Minh Business Hotel.
This was a good opportunity for me to gain experience in many field as translation,
communication or organizing event and enrich my knowledge about sentence types
and lexis. I acquired many new skills and developed many already existing skills
including reading skill, listening skill, communicating skill, and basic knowledge
about Organizing event and sale marketing. Among these skills, the most worth saying
is reading. I read most of my time and I could read as much as I can. I had improved
my reading ability a lot so that I could find out the variety of sentence types and lexis
easier. Besides, working in such professional education environment also helped me
improve my social and teamwork skills. It was a chance for me to get used to the
working environment that I might enter in the future. I know how the work of an event
editor and marketer in such position is.
I also had chance to research many helpful things, which could support me a lot
in my future job such as how to make an event plan, use some tools and software for

designing event. Especially, I learned how to edit an event and trade contract and how
to use some lexis and sentence types in event contracts and agreements.
Thanks to the friendly atmosphere but not less professional at the Hotel, I did have a
wonderful chance to meet and work with foreigners, profession staff to supplement my
English skills.
3.2. Lessons learnt
After the internship period, I have got many valuable experiences. First of all,
when working in anywhere, it’s really necessary to be friendly and sociable for making
relationships among colleagues. Besides, the most important thing is patience and
responsibility with the work in charge. Contributing ideas well-timed and right place is
also not less important. Having ability to use informatics software and talent is also an
advantage. Lastly, I realize that I need to try more to learn and expand my specific
knowledge of the work.
3.3. Shortcomings
One thing that I regret is that the internship period was rather short so I did not
have chance to join in many luxury and professional event. One disadvantage that I
had to face was that all events were in the evening. I have to come back home before it

getting late at night. That was the reason why the time I did not have much time to
meet co-workers after work.
3.4. Recommendations
Through my internship period, there is a recommendation I consider as follow:

I have learnt business English for 3 years at the department, but when reaching
reality work, I realized that what I had learnt about business English just met a little
part in the real trade activities. In theory, I only learned communication skills as well
as how to deal with simple situations such as getting or making a phone call, arranging
a meeting’s order, ideas for advertising product. However, in reality, I just put some of
them into use. I had to learn more new things such as building a trade contract, steps of
marketing products or vocabularies, sentence types used in legal document, using
Software skills.
Therefore, I hope teachers in our department will care and re-edit the material
more specifically. Furthermore, teachers should create many exercises of dealing
situations at the class for students to train response skills. The department should
search and link with many hotels, resorts or companies for students to broaden
learning environment and expose to the reality. Besides that, the department also
should organize some courses of using software, applications (apps) in trade filed to
help student improve technology skills for their future jobs.
Being active and positive in participating in English Quiz and Activities of the
department or student's' locality is a good way to improve English for students. In
addition, students should practice English by talking more with their friend even in
their daily lives to make them more confident in communicating by English. Another
good way is to record their voice to recognize and to correct their mistakes in English
pronunciation.
