Identify 6 weaknesses in the application control of MYOB and recommend the solutions:
(the recommendations are expressed in Italic after the arrow)
1. Security:
MYOB does not require compulsory password or divide the level of access that means anyone
can open the file and use or modify the data.
→ MYOB should require a compulsory password for the data or divide the level of access to make
sure that users can only access the data that is suitable for their position in the corporate.
2. Back up:
MYOB does not have the auto back up so that users have to manually back up the data.
Moreover, the data is backed up in a ZIP file so that it takes time to extra and open the file.
→ MYOB should develop the auto back up so that the data is automatically save in case there is
any errors happen, the information will not be loss.
The backed up file should in the format of “name.myo” only that can help the user to open the
file easier. If there is any related data that need to be backed up, those data should be included
in other files.
3. Date/time:
MYOB does not show the format of date (whether DD/MM/YYYY or MM/DD/YYYY) and when
user enter the wrong format, two cases would happen.
 If the number of the month does not exceed 12, MYOB will let user continue without
noticing anything.




If the number of the month exceeds 12, MYOB will not show any notification, it will not
allow user to Tab to the next field.

→ MYOB should show the date format beside the box for the users to make sure that there is no
mistake happens when entering the data. If MYOB notice any mistake in entering the data, it
should display the clear notification that the date is entered with the wrong format so that the
user will know what is happening and correct the mistake.
4. Correct the data:
Once user enter the data, it cannot be correct. If the users notice any mistake, they have to go
back to the point when they backed up the data.


→ The data should not be correct easily however MYOB should provide the right to adjust the
data to some specific people and record the history of edit to make sure that there is no fraud
happen.
5. Tax inclusive:
If users forget to tick on the box Tax inclusive and enter the data then they notice the mistake
and tick on the box. MYOB will automatically adjust the price of products to make to total
number before match the total number after ticking on Tax inclusive.
→ MYOB should ask the user after ticking on the Tax inclusive box that they want to keep the old
price of products or keep the total amount and then make the adjustment.
6. Ignore the dictation mistake:
When MYOB notices a word that is not the same as any words in the dictionary, it will warn the
users. However, it keeps displaying again and again and users have to click on the Ignore button a
lot of time.
→ The notification is necessary to help users identify the mistake if any. However, these
notifications should only appear one time or let the users tick in the box of “never show that
again” if they are sure about the word.
