INTRODUCTION
Being recommended and allowed by English Department – Thuong Mai
University, I have gratefully experienced as an intern in the DAMASDOOR
JSC. After one month (from September 31th 2019 to February 7th 2020), under
the valuable support and instructions of managers and colleges in the company,
I was able to apply the knowledge obtained at university into practice
meanwhile collecting basic information to complete the internship report. Due
to the internship period only in the early stages, combined with my limited
ability, the report is certain to have some mistakes. I wish I would receive the
teachers’ comments to make the report more complete.
I would like to express my gratitude towards teachers at English
Department -Thuong Mai University as well as my managers and colleges in
DAMASDOOR JSC

1.1.2. The process of foundation and development

Damasdoor JSC was established on March 16, 2017 by Mr. Ngo Trong Dai, in

the context of Vietnam's market and economy being affected by the global and
regional economy. Over time operating and developing in the field of trade,
manufacturing and construction. With the creative dynamism, always listening,
understanding and wholeheartedly serving customers, taking the quality and
business ethics as the foundation of Damasdoor has quickly attracted the attention
of many customers not only because quality of products and projects but also by the
spirit, dedicated service attitude and good after-sales services.
As an enterprise operating in the main profession is completing construction
works with a young, enthusiastic, dynamic, professional and closed working
process, Damasdoor employees are always trained cultivating, cultivating and being
aware of the mission of serving the customers: "Doing good at the beginning". And
they always keep the desire to build a reputable brand, a reliable address to give
products, services and images of the business to all customers

a. Organizational structure
In order to manage the company's apparatus, ensure high efficiency at work,
closely monitor the situation of production, trade and improve product quality. The
leadership of the company has built a apparatus that combine an online form and a
function together.

From the above chart, you can see that this structure is relatively simple which
only have 1 general manager, 1 deputy director and the other departments (division
of accounting department, marketing department, import & export department and
HR administration department). As the company has just established for 3 years,
this organizational structure is suitable with the business and production activities of

its scale, which helps department associate and operate effectively. These
departments are both on the task of their specialized department and concurrently
with other tasks. In fact, the company structure is simplified which helps

management effectively and cut down the costs. Therefore the company can
develop sustainably.
b. Analysis of the tasks of each department

Director:
The Director, the founder of the company, has the highest authority, manages
all activities of the company and takes ultimate responsibility for the authorized
activities.
Deputy director:
Deputy director plays an important role in the company, helping the director to
deal with the company's affairs. At the same time, the deputy director also
contributes to the company's business strategies.
Accounting Department:
The Accounting Department is responsible for researching and suggesting
measurements about the financial condition of the company, implementing the
financial decisions of the director and the accounting tasks, as well as managing the
financial condition and property of the company.
Marketing Department:
Set sales goals and plans to submit to the director for approval, and organize
the implementation of sales of products and services under the function to achieve
the approved goal.
Finding and developing new customers belonging to the target group of the
company.
Finding, maintaining and developing relationships with customers.

Collect and manage customer information and customer records as prescribed.
Clues about the income, customer information management to serve the customer
rating, evaluation and reevaluation of customer records.
Import and Export Department:
Develop a domestic and foreign purchasing process; process of forwarding,
exporting and importing goods; building plans, contacting new suppliers,
maintaining and developing relationships with traditional suppliers. Manage and
archive import and export records to perform transactions, negotiations, and sign
contracts with customers and suppliers.

Manage, track orders and contracts. Coordinate with relevant departments to
ensure timely delivery and receipt of goods.
Carrying out the search of new customers, expanding import and export
markets according to the company's strategy.
HR Administration Department:
The department has responsibility to recruit new employees, cooperate with
other departments in training and improving the quality of the staffs, to develop
regulations about employees’ salaries and incentives, to formulate the rules and
regulations of the company, to recommend the Director about issues related to the
Personnel Administration Department.

Information about HR Administrative Department of Damasdoor Joint Stock
Company
Missions and activities of the HR Administrative Department:
Advising the director to build a strong workforce, to ensure a stable operation
of the company. Develop and report on personnel situation in the company to the
director to have a plan to recruit personnel when needed. The tasks that HR

Administrative Department needs to do:
 Employment & recruiting: interviewing, recruiting, selection and induction into the

organization.
 Training and development: orientation, coaching, performance management skill
training both for technical and non-technical personals, counseling, job rotation.
 Equal employment opportunity: ensuring that no discrimination in terms of gender,
race, age, national origin, religion. Involves complaint investigation, interpretation
and policy, monitoring performance.
 Health and safety: health programs, safety programs, medical facility.
 Employee relations: wages, rates of pay, hours of work, conditions of employment,
negotiation, contract interpretation and administration, grievance handling,
allocation of overtime.
 Benefits and Services: insurance programs, transportation facility, sick leave pay
plans, loan funds, yearly bonus programs along with special bonuses for achieving
high target.
 Organization planning: developing concept of company as a structure or system.

 Human resource planning: designing programs to implement the plans of

recruitment, selection, performance appraisal, transfer, promotion, training,
motivation, compensation, audit and adjustment.
 Personnel and behavioral research: improving worker productivity and also

increasing the quality of working life, employee attitudes and motivation, predicting
success in management and organizational relationships.

PART 2: INTRODUCTION ABOUT INTERNSHIP PROCESS IN
DAMASDOOR JSC
I was given the opportunity to work in DAMASDOOR JSC for 1 month from
31th December 2019 to 07th February, 2020.
2.1. The roles and responsibilities
2.1.1. Description of the Job
I worked in Marketing Department as an internship where I had learnt several
practices of marketing department of company. At first, I thought that it would be a
very difficult job for me. Later, my idea has changed. As I had opportunity to have 1
month at the company. I have done different tasks under the marketing department.
First day, I was introduced to my supervisor. Then she introduced me with other
personnel. She gave me some brief about job descriptions. I was assigned to the
following jobs regularly:
Those were:
- Planning and creating content for social networking sites, especially
facebook
- Typing, translating and printing documents.
2.1.2. The roles and responsibilities
2.1.2.1. Working with the social networks.
For the first days working as an internship of the company, all I was in charge
of are planning and creating content for social networking sites, especially
facebook, zalo. For example, I wrote different articles such as tips to recognize the
relative material or introduce the company's product and then posted them on
website or facebook page. In addition, I also responsible for answering and
explaining some questions related to professional knowledge from members on
website.
2.1.2.2. Working as a translator

Because DAMASDOOR JSC has been building good relationships with
foreign partners so that activities at work highly require proficient English. Being as
a translator is not an exception. The documents I was in charge of translating
include product description, business contract, emails,… I had to do it everyday.

Based on my knowledge of translating that I have been taught at the
university, I translated texts on my own. When the confusion or uncertainty of some
ideas presented in the texts came, I first searched related information on Google.
Then I tried my best to comprehend the texts. Otherwise, I asked my instructor for
advice and suggestion.
My supervisor also helped me much in identifying and delivering against
challenging goals that impact the organization. She helped me and others employees
to plan how to develop skills for our current position and for the years ahead.
To deal with translating English technical terms, I had better equip myself an
in-depth or at least moderate knowledge in these fields. This is a primary
requirement of a translator: being an expert in the fields that you are doing your
translating job.
When I finish my internship at DAMASDOOR JSC, my English skills have
been improved a lot. It is one of skills I learnt after I finish my internship.
2.2 . Difficulties and lessons
2.2.1. Difficulties

During my internship at DAMASDOOR JSC, I encountered some following
difficulties:
- Working hours and environment: I was a full-time trainee, so I had to work
for 8 hours and got familiar with the company's culture and environment. At first,
this made me shocked and stressed.
- Heavy workload: Besides, I took in charge of handling a large amount of

workload on a daily basis and completing before the deadline. This made me very
confused when arranging the time and having difficulty speeding up the work.
- Create new contents constantly: I had difficulties in planning and developing
ideas for new products and services. This is a challenge for me to frequently make a
research and come up with more unique ideas.
- Get familiar with software and applications: I was also in trouble with
understanding and applying terminologies to work. Especially, it is not easy to
master software and applications in a short time.

- The application of theory and skills into practice is constrained, which is lead
to some problems that I still have not handled quickly.
- Working in a professional environment that requires high flexibility, I had to
make a lot of efforts to observe and learn knowledge and skills of my prior
colleagues everyday.
- The marketing plan is unclear and lack of creativity due to my lack of
experience, which results in poor campaign.
- My lack of understanding clearly about the feature of products and services
results in running ineffectively advertises for their.
- Because of my lack of specific knowledge, I have difficulty with some
phrases and terminology used in this field.
- The company often lack of labors in some tasks, so it leads to the frequent
overload and overlap in work.

I thought everything was about the fun, but soon after I noticed that it was a serious
‘work hard play hard’ mentality. Everyone went above and beyond to ensure that
they delivered the best possible solution for their clients and for each other. Also, I

wasn’t used to working at such an open organization with so much room for your
own potential. DAMASDOOR doesn’t treat you as an intern; they see you as much
a part of the team as their long-term employees. This caused me in stress a bit and I
felt like I was forced to keep pace with them and to complete the tasks well.

2.2.2. Lessons

From my experience at DAMASDOOR JSC, I have learned so many valuable
knowledge which helped me a lot to understand the marketing activities and as well
as to prepare this report. Through this internship, I got a chance to have a very
closely observation about all the marketing activities of the company. Followings
are my understanding from this internship program:

I have learned about the organizational behavior, i.e.how individuals and groups act
in the organization, what are the people-organization relationships in terms of the

whole person, whole group, whole organization, e.t.c.
Accumulate more practical knowledge and improve communication skills.
Understand the importance of team-work and know how to cooperate with my
colleagues.

Improve my office computer skills and English ability.
Familiar with the modern, dynamic, professional environment of the company as

well as office culture in workplace.
Learn how to get along with other colleagues in the company and build a good

relationship with partners.
Facing with stressful working hours and a heavy workload helped me improve my
time management skill and concentrate on getting the job done. Specially, I know
how to balance my daily life and reduce the pressure at work.

PART 3: THE REALLITY OF THE USE OF ENGLISH IN
DAMASDOOR JSC
3.1.
3.1.1.

The reality of the use of English in the company
The current situation of the usage of English
In recent years, integrating into the global economy is the inevitable trend to
almost every country. Vietnam is not an exception, especially in the period of
developing. To be able to take all the advantages of international integration, our
country is in need of a competent workforce that has not only a thorough
understanding of specialized affairs but also good foreign languages and soft skills.
Thus, English is becoming increasingly essential, serving as the key to open up
opportunities in exploiting new markets and seeking for investors with the final aim

to enhance business productivity.
DAMASDOOR is a multi-industry company which operating in many sectors
and serve the needs of both domestic and international market. The company is now
building relationships with many foreign partners. Therefore, English is becoming
more important than a requirement for employees to work for the company.
However, the departments, such as Accounting and Administrative ought to improve
English ability. They merely read and write in English basically. And the
communication skill in English is relatively poor, which makes them have
difficulties in working with foreign partners or solving problems timely . Moreover,
There are some employees who got a good certificate, could not communicate in
English well. This leads to put pressure on skilled labour force in the company and
the workload will be adjusted significantly. In addition, the majority of managers
and administrative staffs in the company can speak English. Especially, employees
who work in import & export department use English all the time when they are at
the company.

3.1.2. Advantages
 For the company: English is a great advantage to expand markets and get more

opportunities to cooperate with foreign partners. Besides, it is also a big strength of
any company to compete with others.

 For Import & Export Department: The staffs have strongly professional knowledge

by understanding English documents, which provides accurate information of



products to customers.
For Marketing Department: The company also has employees who have to keep in
touch with the foreign partners and customers. Therefore, English is the most

effective tool to raise the relationship between company and foreign partners.
Disadvantages
Besides its strengths, there still exist some limitations such as:
- Several departments rarely use English, so it is difficult to solve tasks
relating to English, especially foreign documents.
- In recruitment, apart from Marketing and Technical Department, the
company has not given specific requirements about English level, therefore, the
staffs’ English is not really good.
- Most staffs have only the ability to read and understand English but are not
really good in communicate so sometimes it creates few barriers in transactions
with foreigners.
- Working time and workload are quite heavy, so it is difficult to improve their
English.
- It can not be denied the number of employees who can be proficient both
speaking and writing in English is small. Most of them are only able to read
specialized English but not effectively communicate and write in such language.
This hinders a lot when there has sudden work related to English.
Recommendations for solutions

3.2.

There are some following solutions to improve the use of English in
DAMASDOOR JSC:



Each employee should have self-study morale, improve English skills for themself
and realize the importance of English because it is not only significant for

themselves but also for business operations of the company.
• Besides the efforts of employees, the company should actively create favorable
conditions to supplement and enhance their English skills by offering special
training courses.

In recruitment, the company should give the specific requirements of English and
evaluate the English level frequently to raise initiative in the using of English.



Prioritizing candidates who are better at English in recruitment.
The company has the rewarding policy such as extra bonus for individuals with
good performance, increase the wages for employees who have the good
qualifications and English ability in the workplace. This policy will create

motivation and encourage employees to work and improve their English.
• The company should continue to improve English in its website to give its foreign
partners and customers the most accurate and timely information about the
company.
• Organizing English courses and activities besides knowledge training.
• Encouraging all staffs to communicate to their colleagues in English at the office.

• Arranging to let employees take part in conferences on sharing learning English


experiences.
Providing employees documents related to the company written in English.

PART 4: RECOMMENDATIONS FOR CHOOSING A GRADUATION
THESIS TOPIC REFERENCES
Realizing the importance of English in the DAMASDOOR Company, I would
like to propose the topic of graduation thesis in the direction of “Problems of
language skills (listening, speaking, reading, writing, presentation, translation and
compilation of commercial correspondence)”. As DAMASDOOR is affiliated with
foreign companies, listening, speaking, translation and interpretation skills,
especially speaking and listening are hugely important to the whole company.
Because of this, when carrying out research following this direction, it is crucial to
focus on finding strategies for helping all people working in the company
ameliorate their English competence, which eventually helps them improve their
job performance. The topic I would like to suggest for those who are interested in
doing research related to this issue is “A study on integrating listening - speaking
skills to enhance the speaking” (Research integrates auditory skills to improve
speaking skills for corporate communication). In addition, I realize that my English
skills sometimes don’t adapt with the job requirements, I would like to propose the
topic graduation thesis in the direction of “ Factors affecting motivation in learning
English speaking skill of English majors/ non-English majors and solution that
improve all skills at Thuong mai University”

CONCLUSION

In spite of developing for 3 years, DAMASDOOR JSC has to develope
annually and gradually assert its position on the domestic market. In addition, its

business is increasingly expanded to bring high efficiency and customers’
satisfaction.
To get such achievements today, besides the efforts of all staffs, it is the strict
and judicious management of the directors in making the strategic decisions. This
has created positive changes and built firm belief for employees to devote
constantly to the development of the company. DAMASDOOR JSC has been
moving in the right direction. It does not only focus on profit but also the
company’s reputation and the increasingly advanced life of the staffs.
By efforts and abundant and qualified human resources, DAMASDOOR JSC
promises to achieve the important goals and expand the scale to reach larger
markets. I hope that these suggestions will contribute to the development of the
company in the coming time.
A month of internship at DAMASDOOR was really a valuable time for me to
have an objective view of the activities of a company, to learn practical experience
about the working style, how to behave and communicate. Above all, this gives me
an opportunity to acquire new skills for myself, have a clear orientation for my
future career. I would like to give my sincere thanks to the Marketing Department
and all staffs at the company for helping me complete this report.
I am looking forward to receive feedbacks and contributions so this report can
be improved better.
