Instructions for Submission
1. Only registered delegates eligible for submitting presentations.
o Junior delegates - Passed MBBS in 2005 or later
2. Membership of MOGS or any Society affiliated to FOGSI mandatory.
3. Abstracts to be submitted in the accompanying format.
4. Submissions to be submitted in duplicate to Dr. Ameet Patki, Secretary,
MOGS, Model Residency Society, 605, Bapurao Jagtap Marg, Mahalaxmi
(E), Mumbai 400 011.
5. Abstracts will be screened by the Librarian, Clinical Secretary and Joint
Clinical Secretary of MOGS for scientific content and relevance.
6. Their recommendation and decision to accept, modify, convert to posters
or reject an abstract for presentation will be final and binding.

Guidelines for Presentations
1. Free communications
o Time allotted for presentation - 8 minutes with 2 minutes discussion
2. Posters
o Size of the posters - 3 feet x 4 feet.
3. Interesting cases
o Participation in its management.
o Relevant photo documentation with imaging, histopathology and
photographs
o Review of literature must be included.

Recommendations for a Successful Scientific Conference
A Mumbai Obstetrics and Gynecological Society Academic
Initiative

For Speakers

On receiving the invitation

o Check & ensure your availability on the particular day and time.
o Speak to a member of the organizing or scientific committee about their
expectation of your talk if in doubt about its scope.
o If you are uncomfortable about speaking on the given topic, this is the time to
request a possible change.

Preparing the presentation


o Know your audience. Understand & deliver what they are interested in. Since
you will be speaking to a group of clinicians keep your talk clinically oriented.
o Every presentation should have a point. The take home message should
have two or three important points which should be emphasized.
o Be logical. A presentation should have a beginning, middle & an end - much
like a good story. Don’t try to present too much. A clear & concise
presentation is always appreciated.

Making the PowerPoint

o Most speakers will speak comfortably at the rate of one slide per minute.
Discuss one thought or idea with one slide. Try not to have more than ten
lines in a slide and not more than eight words in a line. Use a clear font like
Arial & with reasonable size of 24 to 28 points.
o Slides are a cue. Speak on what is being projected. Avoid reading from them
directly. The audience can do that by themselves.
o Practice, practice, practice. This ensures that you are within the specified time
& that you know your material well.

Delivering the presentation

o Arrive on time & submit the presentation in advance to the preview room.
Check that it runs. This is especially important for presentations containing
video material.
o Treat the podium as your stage. Talk to the audience. Presentations should
be entertaining in addition to being informative. Be natural.
o Stick to your allotted topic & to what you have prepared & practiced. Avoid
straying into areas allotted to the other speakers in the session.
o Use the displayed timer intelligently to pace your talk. Do not overshoot the

time. Be gracious to quickly wrap up when signaled to do so by the
chairperson.

For Chairpersons

On receiving an invitation

o Check & ensure your availability on the particular day & time.
o Have a word with a member of the organizing or scientific committee about
the session to ensure that your understanding of it’s scope is on the same
wavelength.

Preparing for the session

o Be prepared to give a very brief introduction to evoke interest in the audience.
o Communicate with the speakers in your session before the session begins to
avoid redundancy amongst the speakers & to clarify the schedule.

Conducting the session

o The main role of a chairperson is to ensure that the session runs smoothly. A
major contribution to this is to ensure punctuality.
o Introduce the speaker in one or two concise sentences.
o Note the actual start times of the speakers & constantly monitor the on screen
timer. This gives you more authority to stop them when the time is up.
o Signal to speakers when the time available is complete. If speakers insist on
continuing over time, politely but firmly direct them to stop.

Wrapping up the session


o You may want to give a very brief one or two sentence summary of the
speaker’s material before moving on to questions.
o Be prepared with a couple of questions. It may take the audience a few
minutes to digest the material.
o Let the audience ask questions on your instructions. Identify on a serial basis
& go in order. Limit the number of questions to the time available.
o If the speaker & the questioner get into a long winded technical discussion, it
is quite fair to ask them to continue with it later.
o Don’t hesitate to move on if there are no questions forthcoming from the
audience.





For Poster Presentations

On applying to present a poster

o Keep the poster oriented towards a clinical question of some significance.
Posters should usually have a one point agenda. Know your audience.
Understand & deliver what they would be interested in.
o Prepare a poster summary as you would for a scientific paper in a standard
abstract format. This of course is not how the poster will appear, but is
submitted to help selection and be a part of the conference proceedings.

Preparing the content

o Attendees & judges at the conference will usually view posters for only a
minute.

o The poster has to address an important clinical issue (content) & be attractive
(presentation) to get noticed. It is the equivalent of a good billboard
advertisement.
o On a poster, space is at a premium. Do not waste it on copious background
material. Come to the point directly. Though basic sciences are important,
present only what is only of relevant interest.
o List a few important references to validate scientific content.
o Produce good visuals. This can be high quality photographs, graphs or
charts. One or two of these are enough to catch the eye. Do not overcrowd
the poster with too many pictorials.
o Less is more. Do not try to present too much. A poster has to be clear and
concise to be read.

Making the poster

o Check the exact poster size announced by the organizers - 3 feet x 4 feet for
the MOGS conference. This will ensure the poster fits the slot allotted for it.
o The layout & format are critical. Be logical. A poster should be organized such
that there is a flow of the content & it is easy to browse through. Guide the
viewer’s eye with numbering or arrows.
o Do not use small fonts that are difficult to read. The main points should be
highlighted & at eye level to make it easy to read.
o Visual appeal is important. While it is acceptable to have hand drawn posters
if you are an exceptional artist, a computer generated poster usually appears
neater. The poster printed on a flex banner sheet gives the best result.
Alternatively, color printed & laminated A4 sheets can also do the job.

Poster related interactions

o Spend a fair amount of time near your poster. Ensure your presence at the

time the poster is going to be viewed by the judges.
o Greet judges & viewers & make eye contact. Allow them to browse through
the poster. Be engaging & strike a conversation about your work. It is worth
having a few interesting opening remarks prepared.
o Be attentive to the comments & try to answer queries as best as you can. If
the details are difficult to provide, it is worth getting back to the visitor at a
later point in time. This usually leaves a lasting impression.
