INTRODUCTION
Currently, the market mechanism and the trend of globalization of the economy
are developing strongly. Countries around the world are also trying to take advantage

of the benefits it brings. So Vietnam is trying to seize opportunities, make full use of
the benefits that globalization brings. On that momentum, Vietnam, currently holding
the ASEAN presidency, is also one of the factors that can help Vietnam seize more
opportunities. Although we may face difficult challenges, our country will also strive
to maintain the achievements that we have been and will achieve.
2020 is over. It can be assessed that in the past 2020, the world has faced with
difficulties brought about by the new disease COVID-19. COVID- 19 pandemic has
just exploded, knocking out the economies of many countries, in which the
Vietnamese economy was also swayed.
Recently, in the context of a rapidly growing commodity economy, logistics was
born as the fastest and most convenient solution for manufacturing and delivering
products to consumers. Logistics sector is becoming more and more popular in the
national economy as well as the trade industry. It plays an essential part in handling
actions of importing and exporting goods from businesses. This sector not only brings
about considerable revenue but also makes a good difference in the customer’s eyes.
So what is Logistics? We can simply understand it as the optimal service of
supplying and transporting goods from producers to consumers. The job of logistics
companies is to plan specifically, control the movement of goods or information about
raw materials from the starting point to the point of consumption as required by the
customer. To compete effectively in this industry, companies always have to improve
and focus on many different factors such as quantity, quality, time, price, service, ...
There are many logistics companies up to now, when logistics has become "hot"
recently, Gold Transport Logistics Corporation is one of the companies that can be said
to be prominent in this industry. It has developed through years and become a good
choice for customers who are in need of good transportation or freight forwarding
services along with high level of customer satisfaction.

And this report, in addition to reporting what I have learned during the internship
process, survey the reality of using English at the company is something I want to
emphasize here. Nowadays, English is an important international language with over a
quarter of the world speaking this language.
Currently, I am a senior of the Faculty of English at Thuong Mai University.
Being suggested and allowed by the Faculty of English at Thuong Mai University, I
had the wonderful opportunity to become an internship of Gold Transport Logistics
Corporation and approached to the Logistics sector. This is really useful and
meaningful to me when exposed to the logistics industry. At the same time it also can
help me improve my English skills and widen knowledge in this field into real work.
After 1 month of internship at the company, I have collected data and business
performance of the company. Up to now, I have completed the report with 4 main
contents:

GOLDTRANS was established and put into operation on December 19, 2014, the
tax identification number 0106720456. Initially, the company had only 4 members,
including one manager. Director always assumes the position of sales staff, an
accountant, two sales staff, cum the work of document staff, transmitting customs
declarations. Up to now, the company's Hanoi office has more than 40 employees
including management, officers and employees. These staffs are all experienced in the
field of customs clearance, so the company is strongly engaged in the niche of the
Logistics industry as goods that need to carry out specialized inspection procedures.
Industries to import and market to consumption such as cosmetics and food products
must be declared or electric motors, refrigerators, air conditioners, etc. They must
check energy efficiency and energy labels.
With the orientation of building a strong staff with high professional
qualifications and expertise, the Company has intensified the addition of short-term
professional training sessions for employees in the professional department. The
company also often assigns people in branches and departments of the places where to
attend the customs clearance class.
After 6 years, from the very first day up to now GOLDTRANS has grown into

one of the leading logistics companies in the logistics sector in Vietnam with the scope
and size of services along with the number of long-term customers. Constantly
improving the quality of logistics services, GOLDTRANS understands the needs of
customers and partners, understands warehouse operations, packaging, baling, sea
transportation, air freight, customs, domestic shipping, etc. So that it can track and
provide accurate information to customers about shipment status. Besides, with a lot of
direct experience in doing customs, the company can advise customers in detail the
documents to prepare for each shipment and ensure the correct schedule and cost
effective for each shipment, providing the most optimal logistics service solutions for
customers.

1.2.2

Function, role of each department in Gold Transport Logistics

Corporation
Sales Department: Operating and deploying, carrying out all business activities
according to the Company's plan; directly working with Sales Rep / Sales Man;
preparing business plan for each period; managing and monitoring activities of
subordinates; Being under the direct management of the Director.
Accounting Department: Managing, inspecting, guiding and implementing
accounting and statistics regimes, managing finance and assets according to the State
Ordinance, the Company's Charter and financial regulations; meeting financial needs
for all production and business activities of the Company as planned; preserving and
developing the capital of the Company.
OPS Department: Performing all work contents in import-export business
activities; solving all customers' problems quickly and definitively for each shipment.
Save the lowest cost, create a good reputation with customers.
DOC Department: Managing archives and documents, draft customs dossiers,
necessary documents to help the forwarding department to complete the assigned
work; regularly monitor the shipment process, contact with customers to inform the
necessary information for the shipment.

1.2.3

Information about internship department( CUS Department)

This department plays an essential part in the company system. The main
responsibility of every staff here is to ensure how exact the documents for
transportation are, prepare legal documents in order to make goods pass overseas in
the correct order, check the goods’ delivery situation. The staff also needs to reply to
customer’s demand, letter and so on. Without the CUS department, the transportation
of the goods wouldn’t more or less be convenient.
CUS staffs also contacts foreign lines/agents in order to get the best freight rate,
get DEM/DET. They need to check for space and bookings from lines to send to the
Sales Department or Direct Shipper/Consignee, arrange coordination and dispatching
to plan for vehicle control, trucking; check the pace of packing and landing; update
tracking status of the import and export shipments on the system to inform customers.

Besides, they support sales/DOCs to make documents for export – import
shipments, ETA checking, etc.
This department includes CUS export and CUS import.
CUS Export is a place where the problems about export shipments are solved and
customer service is served.
CUS Import is for handling import shipments and providing customer service
including problem-solving about risks, difficulties when importing a certain
commodity.

From the table above, we can see that the business situation of GOLDTRANS
has grown over the years. In 2017, the Company achieved revenue 28,495,824,000
VND and increase 15.73% year on year. In 2019, the company's revenue reached
46,902,270,000 VND and continued to grow at a rate of 45.98% compared to 2018,
while in 2018 achieved a slight growth in 3 years 2017, 2018, 2019 with 12.74%. In
the past 2020, it can be seen that although the revenue is still increasing, reaching
50,419,940,000, the growth rate decreased sharply compared to 2019, the number only
stopped at 5.75%.
Profit has also grown over the years. In 2017, the company’s profit was
1,563,275,000 VND, in 2018 it was 1,841,769,000 VND and the highest was in 2019

with 2,894,279,000 VND. The cause of the growth is due to the increasing demand for
logistics services. In particular, the need to solve the problem of customs declaration is
becoming increasingly important and requires high professionalism. With a lot of
direct experience in doing customs, the company can support and advise customers in
detail the necessary documents to prepare for each shipment and ensure the correct
schedule and cost effectiveness for each shipment. However, in 2020, although profit
will still increase, it will only increase slightly compared to the previous year. The
profit achieved in 2020 is 47,272,062.
We can probably see the reason for the decline in the growth in the company's
revenue and profitability. Not only GOLDTRANS but also many businesses and
companies in the Logistics industry are affected. COVID- 19 pandemic happened,
everything was wavering, the economies of many countries stagnated. Vietnam was no
exception.
Transportation is delayed, logistics businesses have trouble. A survey by VLA
has just performed shows that most of the logistics enterprises are affected quite

heavily by the impact of COVID-19. There are about 15% of businesses reduce 50%
of revenue over the same period, and more than 50% of businesses reduce the number
of logistics services in the country as and internationally from 10% - 30%.

PART 2: INTRODUCTION ABOUT INTERNSHIP PROCESS AT GOLD
TRANSPORT LOGISTICS CORPORATION
2.1 Tasks in the internship process
Working time:
Morning shift: 8.30 am to 11.30 am
Afternoon shift: 2 pm to 5 pm
During my internship process at GOLDTRANS, I was responsible for the
position of an internship CUS staff. It is a wonderful opportunity for me to learn new
and necessary things, widen knowledge and gain more experience as well as skills to
adapt to the working environment, work culture and make new relationships with
colleagues.
The first time, it was the most difficult time for me to familiarize with this sector.
Although I have ever found out information and learned about it, I was very worry.
Manager helped me to know what my work is, gave me more directions.
The first week, I had to create new email for working conveniently. I had been
trained for 7 days (Learn Incoterms, learn the purpose and process of tracking, write
email to the customer in order to update the shipment’s situation, study on ways of
payment: L/C, T/T, Collection, how to find and check HS code, many things relate to
tariff, Customs and declaration and how to use e- customs declaration ECUS5VNACCS etc.).
The next three weeks, my work is trucking status of the shipment, writing email
and sending it to Customer Care Department. Beside to work, I was still learn and
widened more knowledge about this sector and this job. During three weeks at
GOLDTRANS, I believe that I can do and familiar with those work.

Moreover, they also trained for me how to read B/L and performing it in the
customs declaration software, studying on transportation insurance, the export and
import process of a shipment by sea and by air.
As an intern, I was responsible for the following tasks:
 Week 1: (from 28/12/2020 to 03/01/2021)


Get to know staff of the company as well as presenting the managers of

GOLDTRANS. Visiting around the company and socializing with everybody.

Create some goals for 1 month internship.
Read documents related to GOLDTRANS.
Understand and comply with the rules and regulations.
Learn incoterm and everything related to ways of payment, B/L, insurance,

the purpose and process of trucking.
 Week 2: (from 04/01/2021 to 10/01/2021)




Observe everything and work with supervisor or old colleague.

Check tracking status of the shipment.
Begin to write email to the customer in order to update the shipment’s

situation.
 Find out and study on tariff.
 Learn how to check HS code and read B/L, make note Sales contract.



Week 3: ( from 11/01/2021 to 17/01/2021)
Continue to check tracking status of the shipment and write email to the

customer care department.
 Learn how to use e- customs declaration ECUS5- VNACCS.


Week 4: (18/01/2021 to 21/01/2021)



Continue to check tracking status of the shipment and write email to the

customer care department
 Learn how to export and import process of a shipment by sea/ by air.
2.2. The difficulties and achievements in internship process in CUS
Department at Gold Transport Logistics Corporation
2.2.1 The difficulties in internship process
As a student of the Faculty of Languages, majoring in Business English, although
having English is an advantage when pursuing in the field of Logistics, it is quite
difficult for me because I have not been fully studied. This is an area that cannot be

said to be as easily accessible and insightful as it is for specialized students. Moreover,
applying it in practice is even more difficult. There are so many new and unfamiliar
things to me.
Although I’m a student of English Faculty and I approached many kinds of
documents and texts, I still had difficulties in handling specialized words or terms on
bills of lading or invoices.
Working in a professional environment requiring high flexibility, I had to try hard
to gain more new information and gain my lacks of knowledge and practice to improve

myself. Furthermore, the first time, I was wondering whether staffs and managements
could help me.
Although I was instructed, this was also the first time receiving the company's
papers, I was really scared to know what to do, how to do it, whether it was wrong or
not. So I ask a lot. Many times there are papers as well as many items, I still cannot
find out its HS code, because I am afraid of being bothered, I still can check the code
at night all night. That's why thanks to the condemnation of the sisters in the same
office.
Mr. Duc, deputy director of the company directly gave me the problems that
companies often encounter when booking ships, making payment, as well as issues
related to HS codes, customs clearance, everything related to insurance. Receiving
instructions from people with a lot of experience, it is also easy to absorb and handle
those problems quickly and smoothly.
I remember the first time I checked the HS code because she subjectively
checked an item code, fortunately when she submitted it to the manager, she noticed
and reminded me. Even though I was found out quickly, I still felt very scared and
guilty, moreover, I felt really careless. After that time I tried to carefully check, check
again and again so as not to repeat the same mistake again.
2.2.2 Some achievements in internship process

Many Although I have met many difficulties, I always tried my best to learn and I
gained many achievements.
After this internship process I have drawn a number of lessons and tips which
help me perfect myself. I learned how to manage a workload, how to control emotion,
adjust time for daily routine and time for work, etc.
After a month of internship, I can see that I have received a lot and received
many lessons learned. In addition to being able to receive and process some documents
as well as apply training things to reality, I can solve many problems by myself,
understandings about national law as well as regulations for goods before import and
export. I also familiar with the working environment, make good relationships with
colleagues. Furthermore, I can help myself to improve language skills, computer skills
through working on emails.

It can be seen that the reality will be far from the theory when what we learn in
school does not apply much in practice. Soon, however, we will have to quickly settle
into it. I have learned to be confident and proactive at work. Finding customers is the
lifeblood of the company. Please take the initiative to learn and contact.

PART 3: THE REALITY OF USING OF ENGLISH IN GOLD
TRANSPORT LOGISTICS CORPORATION
3.1. The reality of using English in GOLDTRANS
In recent years, GOLDTRANS has been continuously promoting the
development of Logistics. It needs candidates having good understanding about the
sector as well as skills in English. Besides, the company’s business is always in

English and the language is used for negotiations, texts and documents overseas. In
general, English has become an integral part of the company and the key for
expanding relationships with brands. Admittedly, the work for my internship uses a lot
of English words as well as terms on documents.
Almost all GOLDTRANS staffs have to improve their knowledge and English
vocabulary to be able to lie down and work more effectively. Not everyone has the
ability to learn foreign languages well. There also are staffs with poor language skills
but in return professional skills. However, that is not enough. They still have to try
their best to learn English in order to be more advantageous in their work. English is
not difficult to learn, it is just that you do not have an effective learning method and do
not really pay attention.
The company is short of staff with high proficiency of English, which causes a
big disadvantage in the business process as well as competition further to the bigger
markets. For example, some employees are good at English at very basic level, enough
to comprehend what the documents say but sometimes do not know how to reply or
handle problems.
3.2. Proposing some measures to improve the quality of using English at
GOLDTRANS
Below are some measures, in my opinion, they can help you improve your
English skill:
 Recognizing the essence of English for its business, the company recommends
a number of policies to raise the level of English use in the company. GOLDTRANS
needs to create balance in its company. It makes sure that all departments are able to
try to use English at an equal level. There can be no difference. For example, the
accounting department does not require English but the CUS department requires it to
use. This will cause an imbalance and an employee's will to strive to learn. The

company can regularly organize sessions to assess the expertise as well as the English

ability of the people. For English, learning words is very important. It is trying to
improve each person's vocabulary through the working process will make learning
easier.
 The company promises to reward such as extra bonus for individuals with good
working performance and efforts at work. It can help them get motivated to try to
work.
 GOLDTRANS should make good conditions for applicants who are very good
at English but have not been in the Logistics sector, try to train them into the skilled
staff. Creating more opportunities for them to contact with specialized English in
Logistics sector.
 Create more opportunities and need create more energy, motivation and effort
for staffs. GOLDTRANS should make conditions for them participating in English
workshops to gain experience in the country and abroad. GOLDTRANS should
encourage them to use English in the company as much as possible to increase their
foreign language reflexes.

PART 4: SUGGESTIONS FOR THE SUBJECT OF THE GRADUATION
THESIS
During my internship at the company, I realized the problem of some employees
when standing in front of everyone, in front of the management board and other
employees talking or discussing plans for the next project. As far as I know and
experience, this is also the problem of many students in public speaking or speaking
English in class, especially for second-year students.
I am also a student of the Faculty of English, also experienced many English
presentations in class, so there are some reasons why they cannot confidently present
English in class. Learning English is not an easy process, but each person needs to try
and improve every day.

Regarding the topic for the next thesis, I want to learn and research some issues
related to English speaking skills in class, especially for second- year students. The
thesis is completed, can solve problems that second- year students often encounter and
also help students improve their English skills.
Topic: A study on factors affecting English oral presentation skill of the
second-year English majors at Thuong Mai University.

CONCLUSION
After one month of studying and working at GOLDTRANS, I faced a lot of
difficulties but also received a lot of lessons to help me gain more experience.
However, with my job, sometimes I will encounter some problems about using foreign
languages or applying specialized terminology in real work. Fortunately everything
has been resolved well.
When I interacted firstly with a new major and field, I felt strange, new and
anxious. We can see the growth of Logistics in recent years and can see a promising
future of Logistics. Therefore, we need to make more efforts, learn and try to cultivate
the necessary information and knowledge. And at the same time, we need to perfect
our skills to be more confident in the working environment with full of attractions and
challenges.
Most companies, not only foreign companies, currently most requiring their
employees to know English, if they cannot master, at least know the basic English
level. They will be a lot of priority in the company. Normal English is difficult to
learn, Logistics English is also more difficult. In addition to doing logistics, we may
also have to contact a lot with foreign partners. We have to make a lot of efforts to be
able to enhance our own values.
With my knowledge and practical experiences gained during internship process
at the company, I write this report to show the reality of using in the company.
