CONTENTS

INTRODUCTION
Before paper occurred, in the ancient, people wrote in different materials such
as stone, turtle shells, animal bones, clay, bamboo, palm leaf, silk, copper and so on.
From this age, in Vietnam, Kinh , Thai, Muong, Tay, Nung, Cham, Khmer, etc wrote
and drew on these materials.
Nowadays, the world is developing, people do not need to use these
rudimentary things like that to write and draw on. Instead of using rudimentary
materials, people can write and draw on paper .The appearance of paper really marks a
highly developing step of science - technology and brings humankind to the civilized
era. Therefore paper industry become a sector which society spends incentives for.
Vietnam is not an exception.
Besides, the demand for paper is increasing. That makes paper industry be
expanded and developed

. Furthermore, the trend of regional and international

economic integration develops strongly in the world in general and Vietnam in
particular now. So there are a lot of paper companies which cooperate and link with
foreign partners to promote the development of themselves and the country as well.
Triviet Paper JSC is a company like that.
In one month of internship at Triviet Paper JSC, I had the opportunity to learn
and study the way to work in the working environment of the company
The report includes 3 parts:
- Part 1: General introduction about the company
- Part 2: Business operation of the company
- Part 3: Some problems of the company’s operation and suggested solutions.



Due to internship period only in the early stages, combined with my limited
ability, the report is certain to have some mistakes. I wish I would receive the teachers'
comments to make the report more complete. In the process of writing the report, I

would like to thank Ms. Do Bich Dao , the supervising teacher and all staff, especially
the sales department at Triviet Paper JSC.

CHAPTER 1: GENERAL INTRODUCTION ABOUT COMPANY
1.1 The process of formation and development

1.1.1 Introduction

1.1.2 The process of formation and development
Triviet Paper JSC ,formerly known as Triviet Paper firm, was founded in 2003
by Mr. Nguyen Quang Trung . The firm continuously produced packages and high
quality paper serving production, apparel, footwear and art industry, etc . Considering
the prestige and quality is the most important, Triviet paper firm owned the customers

trust and became the supplier for many companies in the Vietnam market, especially
the North market.
Since 2005, with the market demand and reputation of the brand, Triviet paper
firm has received an offer from Mr. Tran Van Viet and Mrs. Vu Thi Mai to build and
expand the firm together. Then the firm was renamed Triviet Paper JSC and officially
entered the field of import and trade of products such as high quality Duplex, Polure,
Chipboard, Ivory, Kraft,etc. The goods are mainly imported from large manufacturers
in Japan, Taiwan, Indonesia, China, Korea etc with outstanding quality and reasonable
prices.
The capital at the beginning is only 149 million VND. This number increases to
40 billion VND now. The revenue of the company in 2014 was around 20 billion
VND and in 2015 was over 25 billion VND. With the experience, ability and
knowledge, solidarity and creativity, the company has been restructuring the
management and manufacture apparatus to improve the working efficiency;
renovating, replacing old equipments to improve quality of products. That can meet
customers demand and increase income of staff. Up to now, the company has one
factory and two warehouses with modern equipments. Triviet Paper JSC always wants

to supply the best products and services, ensure the benefits of customers and partners.
The company's motto is: Quality and Efficiency to ensure sustainable development.
1.2 Business field

Triviet paper mainly operates in the field of paper including manufacturing,
importing and delivering paper.
For manufacturing and importing, the company purchases the materials from
foreign partners to produce high quality papers. Some foreign partners of the company
include: Ciparo - Netherlands company, Northstar international LLC - Israel, Hanwa Japan company, etc. After that, the company delivers the materials to its own factory.

Thank to modern equipments and professional employees, the company produced high
quality product.
For distribution, after manufacturing, products are transported to the company's
warehouse, then they are widely distributed to the domestic market. Now, the
company has over 100 customers in many provinces in the country, from Bac Ninh,
Ha Noi, Hai Phong, Hai Duong, Hung Yen, Da Nang, Long An, Dong Nai, Ho Chi
Minh City etc.
In addition, the company also cooperates with some partner banks such as
Vietcombank, Sacombank to facilitate the payment.

Structure

Triviet Paper JSC’s board of director consists of three main shareholders: Mr.
Nguyen Quang Trung, Mr. Tran Van Viet, Mrs. Vu Thi Mai. In particular, Board

Chairman is Mr. Nguyen Quang Trung who built up the platform for the company. He
graduated from National Economics University with the “Excellent ” Business
Administration Bachelor Degree. He manages and supervises all of the production and
business activities. Mr. Tran Van Viet takes responsibility for managing and
supervising human activities. He is the second largest shareholder of the company.
Vice Director of the company is Mrs. Vu Thi Mai. She graduated with the “Excellent”
Bachelor Degree from National Economics University. She is also a director of a
fashion company in Hanoi. Board of Directors always considers that efficiency and
quality are the guideline for their company’s operation.
• Organization and Administration Department
 Functions

Organizing human resources, training, salary, regulations and policies, the
emulation-reward-discipline, Inspector-legislation.
Managing the administration, documents, storage and external affairs of the
enterprise.
Employees take responsibility to write synthesis, examine and report the
implementation of the plans throughout the enterprise.
 Duties

Employees take responsibility to opperate the organization, staffing, training,
salary, regulations and policies, the emulation-reward-discipline and Inspectorlegislation.
Proposing and implementing plans to improve the organization, preparation,
submission and reviewing decisions related to this work.

Coordinating with the union of the enterprise to guide and implement
collective labor agreements, labor rules and regulations and implementing democracy

in the enterprise.
Carrying out social insurance, health insurance and retraining allowances
hazardous, labor accidents, labor safety and hygiene prescribed by the State and
corporations.
Coordinating union organizations in taking care of the material and spiritual life
of enterprise employees.
Coordinating with the manager and supervising the implementation of
integrated plans and reporting the work performed by the enterprise plan.
Organizing, managing and storing supplies warehouse of the enterprise.
Performing other duties under the guidance of the director.
• Financial Accounting Department
 Functions

Managing the finance, accounting, statistics,materials management, assets and
capital to serve business and construction of the enterprise.
 Duties

Performing statistical accounting of enterprise under accounting standards,
other regulations of the company . Opening the record book; calculating to give a true,
accurate and timely economic tasks arising.
Providing data and documents, economic information promptly, operating the
business and production activities.
The declaration and payment of taxes and the State budget contributions are
calculated promptly and accurately according to the current regime.
Performing other duties under the guidance of the director.
• Technical Investments Department
 Functions

Managing the technical equipment and machinery of technology systems, fire
protection, electrical and automatic berths ... of enterprise.

Planning, implementing, guiding the technique, inspection, repair, maintenance
plans and technical improvements prescribed by the Corporation.

Managing and advising in the field of investment and managing information
technology systems.
 Duties

Synthesizing and reporting the implementation of the construction of the
enterprise and submitting to the leader of enterprise.
Making plans, procurement and storage of equipment, supplies and spare parts;
maintenance of machinery and equipment; monitoring the implementation of quality
management system following ISO 9001: 2000 standard in the enterprise.
Setting the administrator information technology system in enterprises.
Performing other duties under the guidance of the director.
• Protection Safety Department
 Functions

Advising the board of directors in the management, asset protection, security,
environmental hygiene and fire prevention safety, labor protection.
Organizing the work of security, environmental safety, fire prevention,
sanitation and labor protection.
 Duties

Implementing protection, ensuring security, safety of the entire assets of the
enterprise.
Proposing implementation of labor protective equipment, safety protection tools
in the daily work of the enterprise.

Coordinating and supervising the work of commodity export of enterprise.
Developing, strengthening and training self-defense force of the enterprise.
Performing other duties consistent with the function under the guidance of the
director.
• Product management department
 Functions

Advising the Board of Directors in the management and operations of goods
production, import, conservation, container, preparation and preservation of
petroleum.
 Duties

Organizing the import, storage and preservation of goods under the Group and
enterprises plans.
Managing cargo tracking import, storing and implementing the reporting
regime, the security mode, recording mode and reports, statistical tracking system
merchandise books prescribed by the Enterprise.
Performing other duties under the guidance of the director
Triviet Paper JSC has reasonable structure. However, I think there are some
shortcoming factors. First of all, the company should have a marketing department to
advertise their products, promote the image of the company widely, answer the
customer’s questions and make the business department’s activities more efficient.
Moreover, nowadays boosting advertisement and Electronic Commerce are so popular
and efficient. The company does not have an official site on Internet. Therefore, I
think creating an official website for the company is essential and that is marketing
department’s duty. Secondly, there should be a foreign affair department. This
department will take responsibility to search and connect foreign customers and

investors.

CHAPTER 2: BUSINESS OPERATION OF THE COMPANY
2.1. The market and the main products of Triviet Paper JSC
Triviet Paper JSC specializes in the manufacture, import and distribution of
paper for domestic enterprises. The company has gained sizable market share in
Vietnam market. The company's market spreads throughout the country, in which the
main market is the North including Hanoi, Bac Ninh, Hai Phong, Hai Duong, etc and
some developing provinces and cities such as Ho Chi Minh City, Da Nang, Long An,
etc.
The company owns diverse products:
Carton: one type of paper in the packaging industry with at least two layers:
one wave layer and one liner layer. In some cases, it is up to 9 layers (5 liner layer and
4 wave layers). Carton is used as the cartons for packaging and transporting goods. In
addition to preventing products from bumping, carton can be attractively printed for
brand PR purposes.
Carton is the first product with the company, appears from the first days of the
company with the name Triviet paper firm. Products of the company with high quality
and reasonable price are used widely.
• Duplex Paper such as having white and smooth surface, the other side is
darker as cardboard, used to make box packages, cover of books and other decorative
items. The company has all kinds of Duplex: cheap imported Duplex, high-quality
imported Duplex and Duple Stock.
• Kraft: Kraft also called cement paper. It is used for storing cement. The
characteristics of paper are mechanical strength, toughness and effective
waterproofing. Nowadays, Kraft is also used for making paper bags, food bags,
cartons, name cards, clothing Tags; some types are used for making envelopes, profile

cover etc
After the expanding the scale , the company has more products such as:
Chipboard, Poluya and so on.
• Chipboard: a kind of cardboard. There are 2 types of chipboard: board
chipboard and roll chipboard. Board chipboard isused in the production of boxes, book
covers, calendarcovers, ...Roll chipboard is used to produce paper cores, paper tubes,
tea boxes, wine boxes, ...

• Poluya: is a thin paper with essential components made from pure cotton.
Poluyais used with many different functions such as packaging for the purpose of
prevent goods from scratches and fingerprints; supersonic and packaging
medicalproducts, food; prevent the seepage of oil in fried food and waterproofing in
the textile, leather shoes industry.
2.2. Business operation
In the early days, the company, operating with the name Trivietpaper firm ,had
only 12 members including both the leaders and employees. The founder of the
company is the present chairman assumed many roles: managing and supervising
activities of the company, directing sales of its products and organizing, conducting
recruitment.
However, at present , when the company has expanded with human department,
the recruitment and arrangement staff have been concentrated and more specialized.
The recruitment is very careful by enthusiastic and capable administrators.
The number of employees goes up to more than 200 members including both
leaders and workers. Besides, the qualifications of the staff also improved clearly
thank to being carefully recruited and trained.

2.3. Advantages and Limitations of Business Activities
2.3.1. Advantages
In nearly 13 years of development, Triviet Paper JSC has achieved a lot of
success; this is due to the advantages such as:
The Board of Directors always has a clear, specific and practical
orientation.They constantly pay great attention to business activities of the company.
The training and retraining of employeesare always interested. Besides, leadership is
always caringabout human organization and has timely guidance.

The company is equipped with good facilities. Plant and machinery is always a
top priority in investment to produce the high quality products.
Also, Couldn’t not to remark contribution to the success of the company, the
team of staff is extremely enthusiastic, hardworking and professional. The majority of
employees in the company are carefully and professionally trained.
With these advantages, business of Triviet Paper JSC has become more and
more developed.
2.3.2 Limitation
Besides, the advantages which greatly contributed to the success of the
company, there exists a few restrictions.
Business activity of the company is quite good, however, the marketing and
diplomacy have not been focused and specialized. Currently, marketing activities are
undertaken by the sales department, and diplomatic activities are undertaken by the
assistant and deputy director. This sometimes makes the work overload for staff,
making work not achieve maximum effect.

For marketing activities, the company dia not focused on promoting the image
and marketing through the Internet while this approach is now very popular and brings
tremendous efficiency.
2.3.3 The use of English in company
The world is flat; the economic migrations of the past decades have become
permanent expat communities. Asians, especially, continue to migrate to the United
States or to Europe for jobs and live there permanently. Even for those involved in
business from their native countries, if they want to sell to a larger market, need to
understand the trends and the cultures of those markets. This is often best done
through the common currency that is English. English language has become the fastest
increasing scientific language in the world. The English language is at present

occupying the position of a commercial language, connecting East with the West and
South with the North. More than two billion people all over the world speak English
and that number increases everyday. In the modern world, English is key in several
major global industries.
As an import company, as an import company, English is indispensable in
Triviet Paper JSC.
Specifically, companies often use English to work with foreign partners such
as document translation in English, meeting partners, signing contract.
As an internship students in English majors, privileged to help the director’s
assistant in the translation of documents written in English and some other small jobs,
I have noticed the actual use of English in thecompany: She helps director arrange
work schedules, resolve some minor problems, translate document and meet both
domestic and foreign partners. Other departments almost use English only for basic
communication with customers and partners when they come to the company.
Besides, the company also uses Chinese, Japanese, Korean in the trading
activities.
The use of English in the company now relatively reasonable. However the
company still should encourage employees to learn English to avoid delaying because
of heavy workload.

CHAPTER 3: SOME PROBLEMS IN BUSINESS ACTIVITIES OF THE
COMPANY AND SUGGESTED SOLUTION
3.1. Some problems in business activities of company
3.1.1. Capital
Business operations of the enterprise in any field are associated with the capital.
They cannot conduct business activities without capital. So people say that capital is
the key to expand and develop the business.

In early days, the capital of Trivietextremely limited. But through years of
construction, with efforts of the company, Triviet has become one of the leading paper
company in Hanoi with a budget of 40 billion VND. This is not a big figure compared
with other companies’ capital, but this is a great achievement of the company
comparing with the initial capital
With the current capital, the company has significantly invested in
infrastructure and human resources in order to improve the quality of service to
customers.
However, the company's capital is impacted by some problems:


Some bad debts from customers: manufacturing industry is an industry that must
invest quite a large of money. Money of commercial transactions is not small.
Therefore, the clients’ debts are unavoidable. This makes it difficult for the company's



capital.
Although the company's capital dramatically rises, it is not enough to invest in
infrastructure, modern equipments to serve the work. Many existing facilities of the
company are old.
3.1.2. Marketing
Every company must know how to detect demands of market so that they can
survive and grow in the market. To discover new demands in the market, companies
need research and analyze the market.
Marketing research in the commercial companies is a systematically, accurately
data planning, collecting, analyzing and communicating process to provide a basis for
companies to adapt to the marketing situation.
Marketing include specific research, market measurement and overview,
consumer research, target market segments, trading goods research, sales and sales

promotion research, prices research, competition, sales forecasting, business
development trends, etc.
Triviet Paper JSC has yet realized the importance of marketing. The marketing
activities which are duty of the sales department in parallel with the organization, sales
conduction are not specialized, which makes business performance of the company
not very good.
3.2. Solutions for business
3.2.1. Opportunities and challenges
Statistics of the Bureau of Statistics indicate that May 8th, 2012, making labels,
cardboards and packages from paper decreased by 8.8% compared to the same period
in 2011; importing all types of paper in Vietnam reached 690,000 tons with a total
value up to $ 700 million. This shows that the internal paper is facing strong
competition to imported paper, creating pressure to the domestic manufacturing
enterprises. This is the strength of Triviet. Because the company mainly relies on
imported products.
The company must depend on imported raw material. This dependence has
made hardships of paper industry in the past years when the prices of the world paper
dramatically fluctuated.
In this problem, Triviet should harmoniously develop pulp and paper to take the
initiative in paper manufacturing business, especially when the world market
fluctuates strongly. The trend of using raw materials used for recycling is one of the
solutions limiting pollution but still ensuring market demand for paper. Currently, the
rate of production of pulp from wastepaper in Vietnam accounted for 65-70%, in
whichcollected domestic paper is about 32% . The company can rely on the chance
other company ignore to create opportunities for their own development.
In addition, the company can build a part to track inventories and update daily

information to quickly adjust the volume of goods sold and commission rates as well
as better pricing policies for distributors. Good distributor will be increased discount.
It is important to consider the possibility of customer purchases to calculate the
production plan, restructure products to customers, and ensure reasonable prices to the
highest limit amount of inventory. Reduced price is popular solution but not yet well

enough now to do, especially in the situation of deep discounts that would violate the
law
3.2.2. Development orientation in future
3.2.2.1. HR Solutions


Success or failure in business revolves around the human element. So the important
thing is finding a way to recruit, train human resources, to bring maximum profit for

the company.
• Recruitment need to be more carefully monitored to choose right people. For young
candidates, theyneed not only retrain for perfection but also choose the right duties to
avoid waste energy.
• Opening more monthly or quarterly skilled and professional training courses for
employees. Training courses must suit to each employee to enhance the skills they
need.
• As a production company, the professional qualifications should be a top priority;
Leaders must be a realistic assessment by practice when interviewing candidates
depending on the position.
3.2.2.2. Capital solution
Capital is the first facility for a company to operate. The company must depend

on the capital to determine the size of the company. Therefore, there must be more
efficient ways to raise capital of the company.
To achieve optimal revenues and improve the efficiency of work, the company
should invest, upgrade, renew and replace infrastructure and equipment systems to
facilitate employees in company.
To ensure safety when dealing with customers, the company should have a
specific and apparentemployment contract to avoid bad debts. In the worst case the
customer does not pay, the company should warn recommendations to the court and
has a reasonable way to create relationships with customers in the future.
3.2.2.3. Business solutions


Triviet Paper JSC needs to further improve the management apparatus. This is the
headquarters of the apparatus. If the brain does not work properly, the whole system
will collapse. Although current management system works quite effectively, but the
size of the company is expanding and the number of employees is increasing;

therefore, the company needs to build a system of strict and stronger management to
effectively manage the organizational structure.
• Strengthen market research to meet the new needs of customers. Customers’ demand


is always changing and tends to rise; so capturing the market is the key to success.
Diversifying products and services is also a step to expand business scale., especially
in the period of integration - many new needs emerge. This is a good opportunity to
develop Triviet. Currently, the company also provides additional services on
personnel, especially for foreign companies. This is a new service, and promises to

bring many achievements for the company

CONCLUSION
The organization of production, sales, management and use of capital, cost ,et.
are matters that are necessary and important for any business. Triviet Paper JSC is one
of the units quickly integrates and catches up these innovations. For more than 10

years, Triviet Paper JSC has overcome many difficulties to expand business and
strengthen its position and reputation of the enterprise market. Towards a more
comprehensive development, Triviet is continuing its efforts to implement the
convention "A TRIVIET ", imbueding with action-oriented and compliant 5 core
values: Leadership - Efficiency - Responsibility - Transparency - kindness, help build
TriViet become one of the leading prestige brand in Vietnam.
During a month doing the internship as an office staff at TriViet JSC, I
possessed the a opportunity to apply the knowledge obtained at university into reality
and learn more about styles, attitudes, methods of working, communication in business
environment, generating valuable experiences that helps me give out the clear
direction for my future career.
Through my experiences obtained during one month of internship and my
knowledge background, I conducted this report in order to figure out some existing
problems at the enterprise. I do hope that it would contribute to the unit’s development
in the upcoming time.
I would like to give my sincere thanks to my supervisor – Mrs.Do Bich
Dao , and all managers and collegues at TriViet company
accomplish this report.
