During the internship period at Vietnam-America Education Group (VMG), I had
many opportunities to use my knowledge what I had learned at school.

Firstly, I am thanks to all teachers in Dong Nai University who gave me academic
knowledge and necessary skills so that I can get a good job in the future.
Secondly, I would like to thank to administrator of my school who created good
chances for me and all third year students to have a real working processes, which we
could not get at school.
Thirdly, I thank Ms. Oanh, Operations manager, who approved for me to practice
at VMG. Beside that, I acknowledge to all staff those who supported me during my
internship period. They were ready to share the helpful experiences for me.
Fourthly, I would like to express my sincere thank to Ms. Thien belong to

Academic Department who helped very much in my apprenticeship period.
The final, I am greatly indebted to my family and my friends who have been
always by my side and helped me difficulties in my learning years.
Once again, I am grateful to all of you – my beloved teacher. I hope you are
always health and successful in life.

CHAPTER ONE
INTRODUCTION
Have you ever been wonder that why must we pass an apprenticeship period
before we graduate? Actually, meaning of this apprenticeship period created a good
opportunity for students so that we can apply the knowledge we had learned in school
to the fact. Moreover, we will get useful experiences and skills in the future. In
addition, we can meet and be acquainted with some people who can help us in the job.
So, apprenticeship period is very important for us.
During the practical process, students can establish relationships in their career;
this is useful for students after graduating. If they do it well, they also have the
opportunity to get jobs in the process of practice.

After nearly two months of practice at Vietnam – America Education Group, I had
known more about the process of establishment, development and operation of the
company. This is great important period for me get experience.
Besides working at the center, writing this report was the compulsory work and
my responsibility to school. However, for me, it was a chance to evaluate myself and
look back what I gained after a long time I had studied at school. Based this report, I
could realize clearly which was my strong points and week points so that I improve
and adapt myself to the real working environment.


CHAPTER TWO
OVERVIEW OF THE CENTER

I.

Background of the center
Nowadays, Vietnam is a member of the world Trade Organization: this means that

many foreign investors are coming to Vietnam to do business and study. English had
become very important and cannot be missed in business and many other purposes.
So, learning English can bring us a better life and easy to find a good job. This is the
reason Viet My center was established. . Currently, VMG manages and owns Viet My
English education system in Dongnai, Ho Chi Minh City and Danang.
These are some information about the center:

II. Business activities
1. Educational training
Coming to VMG, people believe that parents and students will be pleased about
our teaching method. The center has a group of domestic teachers and foreign
teachers who have full of experience and professionalism. They will help you improve
your listening, speaking, reading and writing skills rapidly. Especially is listening and
speaking skills.
VMG has nine foreign teachers. They are come from British, American, and
Australia. Therefore, students can understand clearly the cultures of other countries.
The ability to communicate regularly with foreigners can help you improve your
pronunciations. In addition, their teaching methods are very interesting and attractive
to students.
Based on the need and the age, Viet My Dong Nai has the appropriate English
Programs:
a. English Programs for children

English programs for children from six to nine years old. This is appropriate
age to learn English. As this time, we will focus on teaching children to pronounce
words exactly and help children communicate confidently with foreigners. Each
lesson is demonstrated via English songs and VMG’s teachers are young, patient, and
active, with international certificates and teaching experience. Each class is handled
by one native and one local teacher and both teachers cooperate in teaching and
reviewing the class.
b. English Programs for teenagers
English program for teenagers from ten to fifteen years old. This program is
taught to develop 4 skills: listening, reading, writing and speaking. The programs are
designed according to international standards so at the end of the courses, students can
easily pass exams to pursue international certificates organized by Cambridge
University, UK.
These classes contribute to training and improving presentation and
communication skills of students.
c. General English Programs
The programs are designed for adult, who want to enhance knowledge and
skills using English to communicate with other people in daily life and in working.
Native teachers will focus on pronunciation and Intonation for students.
d. English for corporate
Depending on the specificity, need, and profession of each enterprise, we open
special program for corporate. Students can schedule to learn and the programs are
designed according to the training requirements of the corporation.
e. TOEIC, IELTS Programs


Based on the need of customers, VMG has opened classes specialized in
TOEIC and IELTS for students. Students will be combined four skills: listening,
speaking, reading and writing. After finish the course, you can join this test
confidently.

2. Mission of each department
a. The board
The board has the most power to manage the center operation and has the
following rights and obligations:
-

Deciding on the organizational structure of two branches


-

Deciding on the establishment of branches

-

Deciding on the number of employees, salary, pensions, benefits, and other
terms included in their labor contracts

-

Approving the marketing programs supplied by the Marketing Department.

-

Meeting all of the managers of each department every month to evaluate and
announce the plan for next month.

b. The director
The Director is the legal representative of the company and has the following
rights and obligations:
-

Being responsible for the company activities before the law.

-

Signing the contract with other companies which want to improve their staff’s
English communication in business activities.

Recruiting staff if the company needs.

-

Carrying out the Board’s decision.

-

Effecting the marketing plans and projects of the company.

c. Academic Department
The duties of Academic Department are:
-

Designing the programs for different ages (children, teenagers or adults) or
purposes (overseas study, language skills improvement, business…).

Making the schedule for all of the teachers.

Attending classes to evaluate the quality of the teachers.

Combining with the Marketing Department to hold some events at VMG.

Dealing with customers about the teaching programs and the teaching quality.

Tutoring the weak students to help them improve.

d. The Technology Department
The Technology Department has the following duties:

Designing, installing Network system for the company.

Being responsible for assembling, repairing or dealing with problems

-

with all the company’s computers.

-

Adding the question to do placement, midterm, and final tests for the

customers.

-

Fixing the printer, fax machine, and photocopier when they have problems.

-

Helping the Marketing Department to do some the discount programs and
design all of the advertisements.

e. Accountant Department
The duties of this Department are:

Being responsible for the company accounting books to make sure that they are

-

always accurate and up-to-date.
Keeping the salary of different staff a secret.
Calculating the salary for the teachers and staff every two weeks (the staff and

the teachers receive their salary every two weeks).
Performing accounting tasks for the company in accordance with the
Enterprise law and the company regulations.

f. Marketing Department

The Marketing Department has the following duties:

Creating and designing many discount programs to attract customers.
Combining with the Academic Department to make the programs which the

Board of Manager has approved.
Holding events or Speaking Clubs for the customers every two months.

This Department is responsible for the following tasks:

Welcoming, listening to customer requirements, and presenting appropriately

Calling the staff in charge to advise the program, the book, and the teachers

CHAPTER THREE
MY DUTIES AT VIET MY CENTER
I. My duties delivered in Viet My center
When I first came to the center, Ms. Thien introduced me with everyone. She
guided me what I would do and gives me regulations of the center. All staffs had to
comply with below regulations:
-

Going to work on time (The center opened from 7:30 to 11:30 in the morning,

-

from 1:30 to 5:30 in the afternoon, and from 5:30 to 9:00 in the evening).
Getting good behavior and be always polite.

Turning off lights, electronic fans and official equipment before leaving the

-

workplace.
Keeping the workplace tidy and clean.
Wearing the uniform of VMG.

During my apprenticeship at VMG, I was assigned to work in the Training
Consulting Department. Training Consulting Department is the place where solved
problems which relate to students and teachers. However, ms.Oanh, the manager of
VMG, she wants to help me complete my apprenticeship period. Therefore, she gives
me a chance to do a lot of work. As a new staff, I began to do simple works. My
duties are:
-

Phoning for student’s parents and students
Receiving and transferring call
Consulting customers
Preparing a new folder for each new class
Preparing books and CD for new class
Printing teaching materials and examination questions

Visiting all the new classes

II. Performance
1. Phoning for student’s parents and students
My job is calling for parents and students to inform:
-

Students’ learning situation: Before I want to call for student’s parents, I have
to ask teachers and administrator of this class about scores and learning
situation of each student. Then I call to student’s parents. Those students have
low scores and often naughty in class, I have to ask parents the reason. I will
save and send comments of student’s parents to manager to bring better
suitable solution and effect on students. This work helps parents know more

-

about learning capacity of their children.
Students absent: students did not go to center from three to five days, I would
call them to find out the reason why they were absent and I reminded them to

-

go to center regularly.

Midterm test and final test: I have to look the schedule to know which class
will be make midterm test or final test. I will call for students to inform date,
time and class room before exam a week. This is help students have time to
prepare and learn. When we have test result, I will contact with students to

-

inform their score.
Waiting class: this is list of customers who registered but have not start class
yet. I must check and total once again. If there are enough students VMG will
open the class. I make a call for students to inform start dates, time. If not
enough students, I also have to call for students to inform delayed.

During the call, I introduced that I was calling form Viet My center to and the
important thing was to make sure that they were free to talk because I was afraid of
boring them if they were working. I must be polite when contacting to customers. My
voice should be clear and easy to hear. Specially, I have to be careful to not call the
wrong phone number. This job is very necessary for my job in the future.

2. Receiving and transferring call
When I learned at the university, I learned how to receive a calling. I can apply it
to this job easily. I was guided to transfer the call to the rooms in VMG. The first
time, I often confused phone number of rooms. Therefore, I wrote all of the phone
numbers on paper and always brought it to center. When I received a call, I had to
talk: “hello, Viet My center, this is Training Consulting Department, I am Xuan”. If
caller would like to talk with someone, I will ask their name and transfer the call to

that person. In cause, that person was not here, I must note their information with
below sample:

3. Consulting Customers
In the first day, I was guided how to do consultant customer by Ms. Thien, Ms.
Thuy, Ms. Tam, Ms. Hong – the staff of training consulting department. When
customer find out some information about English Programs, I always listen to them
how to do consultant. I studied very things about consultant.
When customers came to VMG register English Program, I received registration
firm from Training Consulting Department. Next, I prepared test for students so that I
knew their ability. I opened software: ghidanh. I chose one test, which was suitable
for them. Then, I invited students to test room and showed them the way to do test. I

must be sure that volume and headphone were good to listen. After preparing test, I
called foreign teacher so that they tested student’s speaking skill. Based on center’s
regulation the ability of student, I will arrange those students in suitable class. Of
course, I have to ask for my colleague’s idea.
During time of two weeks, I started consulting and answer simple questions and
provided the information for customers. Such as: the English Program, levels, books,
school fee, studying… Addition, I must receive feedback of customers and students
and solve them. In the cause, I do not know the answer exactly. I must ask those who
have much experience. However, in the first time, I was embarrassed and unnatural
when I talked to students’ parents. And I tried my best to complete my duty.
Moreover, “customer is king” so I had to make them please.
I think that this work is very difficult because the customer has many questions for
me. So I don’t know what the customer will ask so that I can prepare the answer. But I
like this job because I can improve my communication. Moreover, I faced with
unexpected situations in the fact, so I can assess my capacity exactly so that
promoting the strengths and overcome weaknesses of myself.
4. Visiting all the new class
Visiting all the new classes three times during course which last 2.5 months to get
students’ comments. The first time on the beginning day, the second time before the
midterm test, the third before the final test. At the beginning of a course, it is very
important for me to announce regulations for students:
-

Register and submit the tuition fee at the beginning of the course. Long-term
students submit the tuition fee later. The student will not be allowed to enter

-

the class if the tuition fee is not received after 4 weeks from starting date.

Be punctual for class. Students who are 15 minutes late without acceptable
reasons cannot join the class on that day. Academic staff must be notified if a
student will be absent. Student who are absent over 20% of the course length
are not allowed to take final exams.

Review lessons and complete assignment before class. Be active in class and
extra curricular activities held by the center. Concentrate on the lesson, limit

-

going outside or using cell phones during class.
Dress appropriately, be well behaved to classmates and respect the teachers and
staff. Do not drink beer or alcohol before class. Teasing, fighting, climbing,

-

running or playing rough tricks,… are prohibited.
Do not bring violent toys, flammable or dangerous things to the Center.
Keep the Center clean and protect the center’s properties. Do not write or draw
on the wall or desks. Put garbage in the correct place. Close and open the door

-

gently.

. Do not arbitrarily turn off or on equipment. Use elevator properly and when
really in need. Use electricity and water economically.

5. Preparing books and CD for new class
When students start learning a new course, they will buy books and CD. So we
must check amount of students attend new course and check number of book on
bookcase. If it short of book, we will take in warehouse. This work may prepare for
books and CD before starting a new course a day. If warehouse has no enough books,
we will order books from supplier as soon as possible. When to start dates customer
will very much, they will pay tuition and buy books. So we may prepare ready it.
This is helps our save time and show our professionalism.
6. Preparing new folder for new class
Before starting a new course, I will prepare folder for teacher. Each folder includes
an attendance list, course outline and labeling what class it is. But I was an apprentice
so I only guided to labeling.
Base on folder we can control easily all the classes. Look at folder we know the
number of absent students and present students day by day. Folder labels help us
distinguish the classes and manage the classes easily.

This is labels of some new classes. I had prepared it on software of computer.
Then I will cut and paste them into the folder of each class. Below is a label on folder
of one class. Look at here I can know information of this class. Such as: Class name is
IC1E10, start dates, book and class room.

and unsightly. So, I must do it carefully and meticulously. In work, you have to make
the acquaintance of some works from simple to more complex work in the company.
7. Printing teaching materials and examination question
The first week I start with work, I guided how to use photocopier and printer, how
to print one side, two sides,…This is the first time I used photocopier and printer. I
fell very interesting. First, I turned on printer and added paper to the feeder. Then I
previewed the document, which I had typed. Next, I set up the print job and clicked
“OK”.
Before start learning, if teachers would like to print teaching materials, I will print
them for teachers. And I also often print examination question for students.
Sometimes, I printed paperwork for Training Consulting Department. Such as:
application form, transfer form, class waiting list form…
During the time printed materials for teachers, I had the opportunities talk to
communicate with teachers of VMG. They have shared and gave me useful advices.
Moreover, I met very much foreign teachers. So I can improve listening and speaking
English skills.

Student’s name: This is the Vietnamese name which students filled in on the

form when they took the placement test.
Nick names: Because every class has different Vietnamese and foreign
teachers, they always use nick names which can be chosen by the student or
teacher in charge on the beginning date.

-

Receipt Number: At VMG Dong Nai, after students have taken the placement
test, they have to pay the tuition fee. I must get the receipt number and fill it in
on the attendance list.

-

The course’s periods: depending on the level, each course has different periods:
children classes: 24 periods, Ket and Pet classes: 30 periods, adult classes: 36
periods. Every course has one period for the midterm test, one final test and
one correction.

10. Making other works

-

Trial TOEIC Test and IELTS Test: Vietnam – America Education Group often
organize trial TOEIC test and IELTS test. Before the test, I and everyone print
examination questions, prepare pencils and past the code number for students.

-

This is a good opportunity so that I worked with everyone. I feel very happy.
Official TOEIC Test and IELTS Test: this is a famous and difficult Test, so we
only prepare pencils and students list who take part in the test. Because this test
will have people from BC (British Council) to here to supervises and make
scores.

Preparing teacher evaluation form: After students finished a course, we give

teacher evaluation form to student so as to take feedback from them. In
general, all of these teachers were very good. Because they had passed some
difficult test before they became a real teacher at VMG. Therefore, the students
loved those teachers and they wanted their teachers continue teaching them.

Teaching Assistant: The last week of apprenticeship period, I attended class as
a teaching assistant. I attended Starter class. They were from six to eight years

old. This class was taught by foreign teacher. The children are too young so
they cannot understand what teacher said. My English is not good so I really
worry about this. But when I attended this class, I was very excited. Teacher
was very friendly and kind. After finished the lesson, I thought that I should
study hard. If I do not try my best, I cannot get a good job.

Exam supervisor: when there is midterm test or final test, before the exam time
I have to welcome students into test room. I arrange the sitting for students. I
must be sure that students cannot copy exercise together. Then I read the rules
before the exam start. Because students make the exam on a computer so I
showed the way to login into account of students. For exam structure have
many parts and have given time for each section so during the exam period, I

-

always reminded students to they finished exam on time.
Making results after midterm and final tests: I helped the staff of Training
Consulting Department make scores for student after midterm and final tests.
Then I will also send report cards to the students’ parents. The report includes
the marks of the midterm and final test, comments of teachers in charge, and
the starting date of the next class

A part of Report Card

This is the job I worked at VMG. VMG is one of the most famous foreign
language centers in Bien Hoa city. On the first day of my apprenticeship, I was very
anxious. This was the first time I had worked for famous centers, I did not know what
to do and I was wondering if I would be able to do my job well.
However thanks to the enthusiastic support of VMG staff members, I got used to
my jobs quickly. I have gained a great deal of experience and knowledge that has been
very helpful for my study at school.

Having a chance to work in a professional surrounding, I have gained a
professional style and I have become more confident, dynamic and creative.

Studying how to clearly and quickly solve some problems with students who
are also customers, I must be friendly and confident. I also have a chance to
deal with student’s parents by phone or in person. It helped me become more

mature and gain experience for future work and my life.

Having a chance to speak to American, English and Australian teachers but
main is American and English teachers. They have helped improve my
communicate skills to practice what I have learned from Ms. Linh and Mr.

-

Nam, the teachers of speaking.
When I wrote this apprenticeship report, I used the knowledge of Translating

-

Vietnamese – English learned from Mr.Dat, who is very good teacher.
Studying how to arrange my work effectively. I learned so much from Ms.
Oanh and Ms. Thien. She is very friendly and enthusiastic to help me and other
staff to finish the work of the Training Consulting Department correctly and
quickly.

After eight weeks, I could finish some work myself. I had comments from the
Training Consulting Department and tried to do my work better. I am very happy
because I can do some interesting things and have learned many things for my future
job.
During my apprenticeship, I have worked in pleasant surroundings and have had a
good relationship with all members hare. All members of staff are friendly and caring.
They have helped me very much. I highly respect them for that and I felt very happy
and lucky to work with them at VMG.

III. The result
After I finished my apprenticeship period, I have known more knowledge and
experience. However, I also met many advantages and disadvantages to complete the
works assigned.

1. Achievement:
During my apprenticeship, I have gained the following experience for my future
job with:

Being friendly and enthusiastic with everybody.
Trying to remember as much relevant information as I can to answer students’

parents’ question quickly.
When I am assigned to a job, I must try to listen carefully and understand it

-

well to finish quickly.
Trying to be a diligent worker.
Being dynamic, self- confident and creative to work effectively.
Working in a professional environment.
Trying to be polite, honest and respectful toward all people.
Being willing to help other members as much as I can.
Being clever, because VMG has many events that build staff relationships. For
example: Trial TOEIC and IELTS Test.

I am very happy to work at VMG with friendly staffs who are very sympathetic

when I make mistakes. This is an excellent opportunity for me to finish my
apprenticeship and my future job.
2. Advantages
While working at VMG, I have met many teachers. They are very good at English.
This gives me many more advantages:

The first advantage is the acceptance of VMG’s director, which allows me to

-

work at the center.
The director and Academic manager have assigned me to the appropriate jobs

-

and support me to finish them.
The staff members of VMG have supported and instructed me wholeheartedly.
They are always willing to answers my questions and enthusiastic to give me a

clear explanation.
The Academic and other staffs have enthusiastically contributed their opinion

-

to my apprenticeship report.
VMG has provided the information for me to write this report.
I can meet many foreigner teachers and I have an opportunity to speak with

them. This is good chance to practice what I have learned at school.
3. Disadvantages
-

Because I lack experience, I was anxious when working at VMG.
Sometimes, I made mistakes when I consultant customers. I was very nervous

-

and must talk to Training Consulting manager to solve the problem for me.
VMG is located in Bien Hoa city, so I had some difficulty in travelling and
accommodation, and I also felt homesick.

Although there were some difficulties, I finally finished my apprenticeship at
VMG. I am grateful to all the members of VMG for supporting me to deal with
these difficulties.

CHAPTER FOUR
CONCLUSION

I. Summary
This apprenticeship at VMG is the first time I have had a job. Although I am not
an official staff, I have been helped in all aspects by staff members of VMG. Staff
members of VMG are very friendly and kind. They regard me as their young sister.

Therefore, when I had some mistakes, everyone had guided and helped me
enthusiastically.
In this first time, I felt that everything was strange and interesting. I was very
excited when I began to understand my job. The first jobs, I felt very happy when I
completed them.
After three months of apprenticeship, I have gained a great deal of experience and
knowledge. I have learned how to work in a professional environment. I have gained a
friendly and self-confident communicative skill also. For English learners like me,
these communicative skills are very important and necessary.
In addition, I have formed good relationships with all the members of VMG.
They have supported me in finishing my job well. I have learned from them a
professional style to work independently as well as to work in groups. These skills
will be very helpful for me to go to work in the future.
II. Lessons learned
After my internship period, I realized that we need to study at school to get the
knowledge and basic theory about our major. Besides, if we want to get a good job,
we should learn to get more certificates to support for our job in the future.
After nearly two months working at Viet My center, I had studied way to be
patient. I was sometimes assigned some work which I really didn’t want to do bur I
had to try and try. In addition, I have known when I get a job in the future I will face
to the same situation. If I am not patient, I will be easy to lose my job.
During the training period, I got experience in solving the problem and questions
of the customer. However, I have to make sure that my decision does not damage the
center.
The internship period also helped me adapt quickly to work after graduation.

III. Comments or recommendations to the center and school
1. Comments to Viet My center

Working environment of Viet My center is friendly and everyone is kind. My coworkers were ready to provide necessary information and show me the way to do
different tasks and give feedback on my work.
The center should have the special program to attack students. It is a good
opportunity for students to register for English class at the center.
2. Comments to Dong Nai University

The school created a relationship between the school and organization, company
by official documents. Based on this, enterprises believed us so they allowed us to
pass our apprenticeship period at their company or organization. It created condition
for us to use our knowledge that we had studied at school for working and we could
combine the theory with practice. Moreover, we could get experience for our future
job.
3. Recommendations to the center and school

Recommendations to Viet My center
VMG is an English center and also a company. Nowadays, in the market with
many English centers trying to attract students, VMG must have many new things but
it has to commit to quality. And with the bad effects of inflation, it is difficult for
VMG to develop business activities.
In order to solve these problems, I would like to recommend the following ideas:

The classrooms of the center have only a small TV. I think Director should buy

a bigger TV or replace TV with a projector. And the Director should replace

blackboard with whiteboard. Because whiteboard is not harmful for heath
when students inhaled.

Holding field trips for students so that they can relax after long term studying
and also help students learn not only English but also life skills.

In my opinion, the VMG should separate Training Consulting Department into
two departments: Training Department and Consulting Department. Because I
see Training Consulting is too much work, they are consult customers and
solve the problem of teachers at the same time. So, they can’t take care of
customers carefully.

Children's classes should have teaching assistant for foreign teachers. Because
children are too young, they can’t understand the lesson of foreign teachers. So
the lesson is inefficient.

Recommendations to the Dong Nai University
Dong Nai University should recruit foreign teachers who come from America or
England so that students have a good opportunity to be more confident to

communicate with foreigner.
For us, reading book 3 & 4 is not real and the content of that book very difficult to
understand. I hope that a new book will be replaced or the content of that book will be
revised to suitable with us. Writing and translation are also important and difficult
subjects. However, student had a short time to study them so we cannot enhance
writing and translation skills. Therefore, I recommend that the school should increase
time for those subjects.
The school should open English Club for student so that we can improve our
English skills.
The toilet of school sometimes is very dirty so I cannot stand. My friends and me
had complained to school but this situation still occurred. I hope this case will be
overcome.
