PREFACE
That Vietnam joined the WTO in 2007 marked a turning point to the local
economy. Recently, a number of free trade agreements or FTAs have been signed
between Vietnam and other regional and international partners, creating significant
changes which have opened up numerous opportunities and posed not a few challenges
to domestic enterprises as well. Above all, the most obvious things to see are the
favorable conditions to develop and expand production and trading.
Serving as a medium-size-enterprise operating in producing and trading
different types of copper tubes used widely for air conditioner, ship-building industry
and construction, Toan Phat Copper Tube Joint Stock Company has grasped
opportunities, extended investments and gained significant results.
Being recommended by the teacher in English Department- Vietnam University
of Commerce, i have gratefull experienced as an intern in the Sales Department of
Toan Phat Copper Tube Joint Stock Company. During one month (from January 2nd to
January 29th 2016), under the hearted support and instruction of the company’s staff, I
was able to apply the knowledge obtained at university to practices and collected some
important data to write the internship report.
Due to the limitation of time, knowledge and experience, the report would
properly have several mistakes. I would be grateful to receive any comments and
suggestions from the teacher to better the report.

1.1.2. Foundation and development history
Toan Phat Copper Tube Joint Stock Company was founded in April 2006. The
factory is located in 206 road, D area, Pho Noi A Industrial Park, Van Lam district,
Hung Yen province, Vietnam, inside the Hanoi-Hai Phong-Quang Ninh dynamic
triangle economic area with an abundant labor supply and convenient transport system
creating favorable conditions for production and business activities.
After nearly 10 years of operation, in the context of continuous fluctuating local
and international economies, Toan Phat Copper Tube Joint stock Company has faced a
lot of challenges in expanding markets, finding partners and seeking for material
suppliers. However, with appropriate strategies from the Director Board and the best
efforts made by the whole company’s staff, Toan Phat Copper Tube Joint stock
Company has step by step addressed difficulties and become a prestigious brand in

producing various types of copper tubes used for air conditioner, ship-building
industry and construction.
At the time being, with not only a number of enthusiastic, innovative and
skillful staffs but the chains of advanced equipment and up-to-date technology also,
Toan Phat Copper Tube Joint Stock Company has ability to produce high and stable
quality products at low costs.

Business areas
The major businesses of Toan Phat Copper Tube Joint stock Company are
producing and trading different types of metals including black metals, color metals
and rare metals, especially copper tubes used for air conditioner, ship-building industry
and construction.
Besides, the company also buys and sells different kinds of scraps, industrial
producing materials and plastic materials.
1.3. Organizational structure

The organizational structure of Toan Phat Copper Tube Joint stock Company is
the single-level structure. The company is an economic independent body with
sufficient legal status to directly contact banks, customers and take responsibilities for
managing and using the capital source effectively. The company’s structure is closed
centrally organized which is convenient to the management and economic accounting.

1.3.2. Functions of the departments
Board of Directors: this is the highest authority of the company taking
responsibility to make all decisions related to development strategies, production,
business and market development plans, etc.,
Technical Department: this is the vital department for production plant, being
in charge of solving all technical problems, supervising and operating the production
process, the demand for materials and regularly reporting to the Board of Directors
Sales Department: functions of this department are to establish and adjust the
company’s business strategies; operate other activities including seeking for potential
partners and clients, introducing products to customers, carry out all the trading
procedures and so on.
Accounting Department: this department directly manages the company’s
financial status, taking responsible for accounting the business activities; managing
company’s assets and capital; reporting to the Director board; setting up financial
plans; mobilizing capital for business operation; supervising the implementation of the
finance related contracts; collecting debts and writing business reports
Human Resource Department: takes responsible for all the problems of labor
recruitment, salary, labor regime, labor policies and writes related reports
Quality checking Department: function of this department is checking quality
of materials before production process and products, ensuring the final goods are
qualified.

Production Plant: this is the place where products are made and all the
production related decisions are implemented. The final products are first checked here
before being stored at the warehouse.
Electromechanical Department is in charge of maintaining and repairing
machinery serving the production.
In general, the organization structure of Toan Phat is quite compact with the
close connected between different departments, creating favorable conditions to the
effective and stable production.

The company’s production is based on advance technology, complies with
technical and quality standards. At present, Toan Phat is applying the quality
management system under ISO 9001:2008 standard to ensure high quality products,
which help to gain confidence from customers.
2.1.2. Core markets and partners
Ruby Copper is the international quality copper tube manufactured under advanced
technology at Toan Phat Copper Tube Joint Stock Company. Since 2006, Toan Phat
has developed their markets from meeting local demand to supplying world market. At
the time being, company’s products are presented in a few foreign markets including
USA, Canada, South Korea, UAE, Thailand, Malaysia, Indonesia, Sri Lanka,
Philippines, Cambodia, etc.,

During the period of 2013-2025, the economic crisis broken out from the USA
in 2008 showed several signs of declining but still left some prolonged effects, leading
to the slow recovery and growth.
In 2014, there were quite a few positive changes in the Vietnam economy with
GDP growth of 5.89%; inflation was kept at the lowest level in the past 10 years, at
1.84%. However, the purchasing power was relatively low, which had negative
influences on business results of almost enterprises in general and Toan Phat Copper
tube Joint Stock Company in particular. The revenue table above shows that, the
company’s operation is developing with a not very high but regular increase in
revenue, of 2 billion per year.

Costs for the operation of the company are divided into 3 main groups:
production cost, management cost and other costs. Production cost includes costs for
materials, machinery, marketing activities, etc., Management cost covers salary for
workers and staff, tax payment and other utility costs.
As can be seen from the table of costs, the company had a tendency to cut down
the costs by rationalizing its materials. In particular, the average decrease in other costs
was around 10 million dong per year. From 2013 to 2014, the total cost of the
Company rose by nearly 30 billion dong. Management cost was decreased as a result
of the annual increase in salary paid for the labor force. In 2015 alone, production cost
in the company went up sharply due to the replacement and supplement of some
equipment and machines with an aim to expand production.

The table shows that, from 2013 to 2014, Toan Phat witnessed a rise of more
than 1 billion dong in profit. In comparison to the previous years, that is a quite stable
increase. However, in 2015, the company’s profit was 1 billion lower than that in the
previous year. As foresaid, the reason was the technology renewal in the production
plant. The new facilities are expected to start generating efficiency from 2016.
2.2.4. Capital and capital structure
Toan Phat officially went into business in 2006 with the total charter capital of
22,350,000,000 dong, in which, fix capital accounted for 15,260,000,000 dong (or
nearly 70% in total). The remaining amount was working capital.

The table reflects labor qualification in Toan Phat Copper tube Joint Stock
Company. The majority of the workers are high school graduates as this is a
production company which does not require worker with higher level of education.
However, almost those workers are experienced and have at least 3 months of
probation in the company before becoming official employees.
The company’s administrative employees are 100% graduated from colleges,
universities and higher education. This is the staffs with high qualifications and many

years of experience. One of the required standards to these employees is the ability of
using English to work, especially to conduct trading activities with foreign partners.
2.2.6. Salary and salary structure
The salary grade is different for staffs and workers in the company, depending
on their qualifications, abilities and specific positions.
The average salary for an experienced administrative employee is higher than
10,000,000 dong per month. New staffs or those in the probation time receive the
minimum wage of 4,000,000 dong. The salary for workers, kitchen staffs or guards is
between 3,500,000 dong and 7,000,000, based on their abilities, experience, working
hours and achievements.
Moreover, the company has policies of monthly or quarterly rewards for
workers and staffs with outstanding performance.
2.3. Evaluations of business activities
2.3.1. Strength
First of all, Toan Phat possesses a well-trained team with great ability to apply
latest technologies into production and management. One of the biggest advantages of
the company is probably the workforce that is skillful, diligent and dedicated to works.
In addition, during nearly 10 years of operation, the mobilization and
distribution of capitals, assets and human resources have been well organized. New
regulations and decisions have regularly passed, amended and supplemented arming to
minimize risks or losses and ensure legal right for the workforce.
2.3.2. Weaknesses
However, it is necessary to frankly admit that, there still exist several obstacles
that badly affect the company’s business efficiency.

The first problem is related to the company’s infrastructure. After a long period
of operation with the considerable amount of profit, the transaction office of the
company at 11 Thinh Hao I, Tom Duc Thang, Dong Da, Hanoi is quite old with simple
equipment. There is no separated room for different departments but all the staffs work
together in one office. That situation will probably create certain unexpected
influences on the quality of work.
The second noticeable issue in Toan Phat Copper tube Joint Stock Company is
capital shortage. In order to develop the market and expand production, the company
has to borrow a large amount of capital. Thus, paying for interest is also a thorny
problem which badly influences the company’s profit.
PART 3. TOAN PHAT’S EXISTING PROBLEMS
3.1. Existing problems in the company
3.1.1. Capital

The operation of any business is related to capital. There is no business without
capital, so it is said that capital is the key factor to develop and expand businesses.
Together with the development of refrigeration industry, there have appeared
more and more enterprises producing and supplying accessories like copper tubes. As
a result, market has become highly competitive. In order to exist, Toan Phat needs to
enhance their investment in technology aiming to increase productivity and provide
increasingly high quality products at lower prices. To realize that plan, the Company
must be sufficient in capital.
At the same time, all the modern machines and equipment are not available in
the local market but must be imported with relatively high prices. Facing this problem,
Toan Phat is experiencing a lack of funds for business operation.
3.1.2. Expanding markets
As the market place is under the pressure of higher and higher competition,
expanding market is one of the sticky issues of almost every company including Toan
Phat Copper tube Joint Stock Company.
In domestic market alone, there are a lot of enterprises manufacturing and
trading the products of copper tubes used for industries, such as Hoang Dat
electromechanical Joint Stock Company, Hoang Lam Copper Tube Company, Manh
Tuan Copper tube Company and many other distributors and Vietnam-based branches
of foreign producers. In the global market, products of Toan Phat have not been
presented widely and have to cope with high pressure posed by foreign companies
with modern technology.
After nearly 10 year of operation, the Company’s main markets now involve
just several countries including India, Malaysia, Indonesia and there is a limited
number of clients from developed countries like the USA, Japan and South Korea.
In general, the international market in Toan Phat Copper tube Joint Stock
Company is still limited and expanding markets is facing a number of challenges
which are in need of dealing with by more appropriate and efficient strategies.

3.1.3. Other problems
-
Website of a company is a very powerful tool which reflexes qualification and
profession of the company. However, the website of Toan Phat Copper tube Joint
Stock Company is not really well designed with very few information and is not
-
updated. There are quite little advertising activities on the website.
Loose management is another problem in the Company. Employees often come late
and start their work later than required time that badly affects quality and productivity
of business.
3.2. Suggested solutions to improve the performance of Toan Phat
3.2.1. Solutions to capital
In order to overcome the situation of capital shortage, it is important to find out
comprehensive solutions from both sides: the Company and the Government. I would
prefer to propose several solutions as below:
For the Company:
- Identifying the amount of capital needed in different periods of operation and draw the
-
suitable strategies for mobilizing capital based on the master business plan.
Using different methods of mobilizing capital which is in line with the capital amount
needed and current situation in the company, including borrowing from banks, calling
-
for investment, etc.,
Setting out appropriate plans to distribute and utilize the capital, which minimize any
waste of capital.
For the Government and relevant agencies:
- Enacting more opened regulations which are enable enterprises to have equal
opportunities in borrowing money. While enterprises are lack of funds, commercial
banks are also struggling with disbursement because of strict regulations from the
State. As a result, businesses are facing difficulties when borrowing loans. Therefore,
these regulations, when have been issued, would help businesses including Toan Phat
-
Copper tube Joint Stock Company to be easier in approaching bank loans.
Implementing promptly more prioritized policies to encourage the production of
companies, for examples the programs of preferential interest loans for newly
established private enterprises or companies operating in international market.

3.2.2. Solutions to market development
As can be seen from the reality, several measures should be taken by Toan Phat
Copper tube Joint Stock Company in order to gain confidence from regular customers
and popularize products to developed markets like EU, the USA, Japan, South Korea
and so on. I would like to propose several suggestions as below:

Product policy: product is the most important factor for production companies to
develop their markets. The Company needs to apply achievements in modern
technology to production in order to create high quality products which can satisfy the
higher and higher demands of customers. In fact, consumers in developed countries
have higher demands for the product of copper tubes due to their strong development
in different industries. At the same time, their request for quality is also significantly
higher. Thus, the Company should pay more attentions on enhancing quality in order
-
to reach to these potential markets.
Price policy: price severs as a powerful tool in business activities. In addition to
extending business scope to strong developed markets, retaining regular customers like
Malaysia, Indonesia, India and supplying regional developing markets including
Cambodia, Laos or Thailand are of great importance in the Company’s market
development strategies. In order to reach these goals, Toan phat Copper tube Joint
Stock Company should draw suitable price policies which include the most
appropriate price. To make these policies, the Company needs to refer market prices,
consider all of its resources to guarantee the lowest price which still generates benefits.
3.2.3. Other solutions
Redesigning the company’s website to be more professional and eye-catching to
advertise the company’s image and draw client’s attention. The website should be
translated into different languages apart from Vietnamese, English and Chinese as at
present so that customers from other countries can learn about the company.
Fostering the management is essential in order to improve working quality of
company’s staffs. Cameras should be installed in the office to supervise the employees
more easily. In addition, staff training is of great importance to enhance quality of the
workforce and business efficiency. It is necessary for the Company to create favorable

conditions for staffs to attend training programs inside and outside the company as
well to promptly equip them with needed skills.
3.3. Using English in business
3.3.1. Reality
In recent years, integrating into the global economy is the inevitable trend to
almost every country, especially, the emerging market like Vietnam. To be able to take
all the advantages of international integration, our country is in need of a competent
workforce that has not only a thorough understanding of specialized affairs but also
good foreign languages and soft skills. Thus, English is becoming increasingly
essential, serving as the key to open up opportunities in exploiting new markets and
seeking for investors with the final aim to enhance business productivity.
Toan Phat is a production company serving the needs of local and international
customers. As the company has expanded business relationships to many foreign
partners, English is widely used in different departments, particularly the Sales
Department. All the staffs are required to fluently communicate and write in English in
order to accomplish the jobs in this department including maintaining relationships
with foreign investors, keeping contacts with partners or conducting trading contracts
and so on. At present, employees in Sales Department are 100% able to use English at
work, so the cooperative activities with foreign partner have no longer been in trouble
caused by language barriers like before. In addition, the majority of managers and
administrative staffs in the company can speak English.
That the official website of the company: www.toanphat.vn is designed and
displayed in both Vietnamese and English, not only can Vietnamese but also foreigners
be able to access and look for information about the company easily.
In fact, it is necessary to admit that the number of company’s employees who
are proficiency in English is relatively small. Most of them are only able to read
specialized English but not effectively communicate and write in such language. This
hinders a lot when there has sudden work related to English.

3.3.2. Suggestions to improve efficiency of using English in the company
As can be seen, English plays a vital role and serves as a powerful tool in
business activities of Toan Phat Copper Tube Joint Stock Company. Thus, it is urgent
to promptly draw up some plans to deal with the negative reality and enhance the
efficiency of using English. After one month of being an intern there in the Company, I
would like to suggest several measures including:

Planning out more English courses alongside professional knowledge training for all
employees in the company. Connect with some English training centers in Hanoi and
Hung Yen to build up some commercial English courses, focusing on teaching English
communication, negotiation, email writing, contract drafting in order to turn the
-
language into an effective tool for the business.
Encouraging all staffs to communicate to their colleagues in English at the office.
Arranging to let employees take part in conferences on sharing learning English
-
experiences.
Prioritizing candidates who are better at English in recruitments.
CONCLUSION
Toan Phat considers bringing a more comfortable life to community as their
great mission. The Company has been endeavoring to pursue this mission by
producing world class air-conditioning copper tube and has gained significant results
recently. Those successes of the Company are concretized in the number of revenue
and benefit as well. Besides numerous advantages of organizational structure,
management and staff qualifications, capital and market expanding and some other
problems remain the big challenges which require the Company to promptly take
proper measures in order to fulfill business targets.
The report is my record of the business results and several proposals for the
existing problems in Toan Phat Copper Tube Joint Stock Company. During one month
serving as an intern in the Sales Department of the Company, I had chance to apply

knowledge gained at school to practice and learn more about styles, attitudes, methods
of working, communication in business environment, which help create a more clear
direction for my future career.
