1.1.2. Development process of Gia Vi company
- Gia Vi Manpower Construction Joint Stock Company was established in June
2014 by international students who have been studying and working in Japan for 10
years.
- 2014 – 2015: Gia Vi company was approved by the Ministry of Labour –
Invalids and social affairs (MOLISA) of Vietnam with the labour export license.

- 2015 – 2016: Gia Vi was granted a Certificate of Membership by the Vietnam
Chamber of Commerce and Industry (VCCI).
The company expanded its business scale with many branches in Hanoi, along
with a few representative offices abroad, such as:
Qatar: Nawar Al Mudahka Trading And Contracting W.L.L
Ghana: Oryx Global Group of Companies., LTD
- 2016 – 2017: Gia Vi built a training center to ensure the quality of human
resources for foreign markets and opened more representative offices abroad.
Kenya: Oryx Global Group of Companies., LTD
- 2017 – 2018: Gia Vi company continued to expand its market when the
company opened two representative offices abroad.

- Board of directors: manages the company, has the right on behalf of the
company to decide issues related to the purpose and interests of the company.
* The Board of Directors has the following main tasks:
+ Deciding on a company's development strategy
+ Deciding on investment projects according to each decentralization
+ Making market development orientation
+ Developing and issuing management regulations
- CEO: Vi Anh Tuan – The legal representative of Gia Vi, manage and be
responsible for all business activities of the company in accordance with the
regulations, set up a strategy to organize the implementation of the plan, build a
working regulation, a preferential and appropriate regime economic and capital use.
- Vice director: Nguyen Van Thanh - Helping the director to manage and
operate the company's and businesses’s activities as assigned by the director. Besides,
proactively deploying and performing the assigned tasks, being responsible to the
director for the operation results. Set goals and policies for department management.
- Vice director – Overseas director: Suresh Pathak – Doing the work assigned
by the CEO, on behalf of the main company to handle business activities at foreign

offices and branches. It is also an overseas director, maintaining the system operating
abroad.
- Recruitment director: Ngo Duc Toan – responsible for the design and

implementation of the company's overall personnel plan, controls the data and reports
related to recruitment, training - development, reunification policy, reward and
punishment for employees of the company.
- Human resources department: Monitoring and evaluating the situation of
human resources; Statistics of personnel needs; Forecast future staffing needs in the
company (every 4 months) based on planned production processes, changes and other
factors; Develop human resource programs and plans for the company; Managing
personnel and administrative procedures of the company. Responsible for all defects of
papers, procedures, records related to employees, assets of the company. Perform all
work

appointments, customer service ...). Guide new employees on employment contracts,
clarification on wages, welfare policies at the company. Manage paperwork,
procedures such as labor contracts, certificates of merit, letters, procedures for taking a

- Training department: Responsible for improving the capacity of human

resources, thereby promoting the overall development of the business. Focus on
teaching the knowledge or skills needed at work. Monitoring and evaluating the
quality of training programs performed.
- Import – Export department: managing and administering external activities,
analyzing, expanding markets and introducing products, exploiting domestically and
importing them to supply raw materials and goods for production, business and
management. Manage export activities of products produced and distributed by the
company.
- Foreign affairs department: Coordinating with stakeholders to organize events,
meet directly with customers, create effective external relations, improve the image
and scope of business operations. Ensuring creativity and efficiency in PR activities,
positively impacting the evaluation of partners and customers. At the same time
control, participate in the implementation process, the best quality work.

- Market exploitation department: Maintaining a stable market of the company.
Looking for potential labor markets, areas to help expand the scope of business
activities. Make future forecasts that affect the company's businesses.
- Labor recruitment department: Recruitment planning has directly executed
recruitment campaigns meticulously. Solving legal issues in recruitment, building a
network of potential candidates to serve the recruitment needs.
- Records management department: Performing the work of archiving and
preserving important business records, personnel information in the company as well
as labor records that businesses are training.
- Finance, Accounting department: Manage finance, capital resources, labor
costs, import costs and administrative costs.
In general, the departments in the company have a relationship of mutual
encouragement and support, smooth operation to promote effective business in

competitive market.
1.3. Business fields of Gia Vi company
1.3.1. Training
- Vocational training: Welding, masonry, carpentry, construction, mechanics,
sewing, hybrid cars, domestic help.
- Training: foreign languages, information technology (enterprises only operate
after being permitted by competent state agencies).
- Oriented education for workers and experts working abroad.
1.3.2. Services and transport
- Passenger transport, road freight and support related to transport.
- Service of care and maintenance of landscapes.
- Support related to promoting and organizing tours.
- Cleaning houses and structures.
- Leasing machines, equipment, motor vehicles.
- Restaurant services, serving drinks, providing food and drink contract at the
meeting, party.

1.5. Overview about the department of internship
Import – Export department
The import-export department is one of the important parts of the company,
closely related to the business activities of the business and relationships with
domestic and foreign partners. It established in the early days of establishment of the

company, the import-export department is considered as a key for the development of
the company, expanding its reach abroad. As a part of increasing competitiveness in
the growing market, cooperation is global nowadays.There are about 12 people,
responsible for all tasks and transactions related to the purchase of materials,
equipment, machinery.
The main tasks:
- Contact customers at home and abroad (Korea, Japan, India) and negotiate on
prices and quality to import devices and machines with the best standards. Provide
information, prices on machinery, materials, equipment for partners in need.
- Receive, check, compare and record imported and exported goods with actual
numbers at the checkpoint during the process of making customs clearance documents.

- Regularly contact, care for and maintain good relationships with customers
and suppliers, collect and evaluate feedback from customers, markets, competitors.
- Manage, track orders and contracts. Coordinate with relevant departments to
ensure timely delivery and receipt of goods.
- Advising the head of the import-export business strategy department and
making internal reports and reports to relevant state agencies.

PART 2. THE INTERNSHIP AT GIA VI MANPOWER CONSTRUCTION
JOINT STOCK COMPANY.
2.1. Main responsibilities
My work is done under the direct management of the manager. My first task is to
find customers through commercial websites. From there, I made a list of potential
companies to ask for the best equipment and materials. Also look for long term leads
in emails.
Next, I was assigned to be responsible for answering questions and advising
customers on issues related to import and export of goods when customers request
through different forms such as phone, email, online consultation. In addition, I was
assigned to draft and translate transaction information and foreign affairs in English.
Making information about specifications, quotes for the party who needs the services
and products of the company. Regularly check the company's mail to timely track
requests from suppliers and customers to report to their superiors.
In addition, I have to keep in regular contact with the potential partner or longterm partner with the company.
For documents that need to be sent to the customer, I need to make sure that the
documents are delivered on time to the client as agreed in the contract. Keeping
documents and invoices sent by customers and transferred to the superior.
At the end of the day, I have to report my transactions to the manager.
Attend work-related meetings, department meetings to provide new directions for
businesses. At the same time, prepare reports and implement instructions from superior
management.
2.2. Difficulties
For the first time, I found it difficult and nervous to work in a new environment,
working in the office was a completely new feeling, so I needed some time to adapt
and work hard with my own energy.
To do a good job, I have to learn and learn from colleagues in the department.
Luckily, I have the opportunity to work with colleagues who are sociable, enthusiastic
and work under kind leadership. She always helped me, instructed me to do the work

as well as how to solve difficulties thoroughly. In particular, I had the opportunity to

freely ask her questions about the department's existing products and operations, and I
gained more knowledge and information.
The import-export field requires good knowledge and skills, which I am lacking
a lot so I feel the job is quite difficult for me. I must always research, read and look up
information related to this field.
The company's partners are mainly abroad, so working with them sometimes has
difficulty in terms of time, culture, and working style. Many partners are difficult or
unable to speak English like in Japan, Korea, Taiwan, which is very detrimental to my
work when dealing with phone study or letters.
When compared to my colleagues, my ability is much lower. So it made me quite
unconfident. I do not have much experience in negotiating and interacting with foreign
customers, so I feel quite pressure when working.
2.3. Lession from internship
Through real time and from the experience I have at Gia Vi company, I have
learned a lot of useful knowledge to help me understand a lot more and more deeply
about import and export activities. After this internship, I had the opportunity to
experience many other wonderful, useful knowledge documented in this report.
Firstly, I learned how to work independently and with a team so that it is
effective, practical experience with an office environment, modern and dynamic.
Secondly, this internship gave me a good opportunity to use English, put my
learned knowledge into a specific job such as writing emails to offer, asking quotes
from suppliers, contacting with cooperation on products of the enterprise. At the same
time, I also improved my English skills significantly. I know more about the behaviors,
culture at work, the amount of English that I can cultivate.
Thirdly, thanks to the guidance of the leader, I also learned some basic skills that

were missing: computer skills, negotiation skills, search skills. All the jobs were There
are specific requirements, but they are all useful for my future.
In addition, in order to do well this internship, I also need to learn and remember
the characteristics of the use and technology of machinery and equipment. Thanks to
that I learned a great deal of vocabulary and knowledge.

PART 3. THE USEAGE OF ENGLISH IN GIA VI MANPOWER
CONSTRUCTION JOINT STOCK COMPANY.
3.1. Reality
In the context of strong global integration today in many fields such as culture,
economy, English has now become a global language. Among hundreds of different
languages, the world has chosen English as a means for people to understand each
other. Not only that, English is also considered the key to success. When international
companies come to Vietnam, they always need to recruit Vietnamese personnel but not
only are they good at their expertise but must know how to use their foreign language.
English helps businesses access potential partners and business markets while also
taking advantage of great opportunities from abroad. Most employers choose a foreign
language as a criterion for evaluating and screening candidates because candidates
who are good at foreign languages are often rated as smart, clever, adaptive to change.
Moreover, between two candidates with the same level and ability, the advantage will
certainly belong to candidates who are good at foreign languages.
Gia Vi company is operating in Japan, Myanmar, India building a long-term
cooperative relations, and also seeking new potential markets to expand the scope of
activities. Therefore, the requirement of English proficiency is a crucial factor for
candidates and official employees of the company.
In fact, using English at work is becoming more and more familiar through
communication, telephone, email, and negotiation. However, confidence in using

English is still a dream of many people. They are in a vicious circle of fear of being
wrong and being afraid to speak English. If international certificates will be the key to
scoring with employers, mastering English to apply directly to jobs such as
communication, writing emails, planning, negotiating with foreign partners will give
them a competitive advantage, more opportunities for advancement in work.
3.2. Suggestion to improve efficiency of using English in the company
English is considered as an important weapon in business, one of the main
factors that make Gia Vi successful. Therefore, improving the ability and effectiveness
of using English at work is very urgent. After a month working as a trainee at the

company, I would like to propose some measures to improve English proficiency as
follows:
- Prioritize is given to candidates who have English proficiency from fairly good
to good in the hiring process.
- Organize courses, interactive activities in English for all officials and
employees of the company. Conferences to share learning experiences and use English
in the workplace.
- Provide documents, reference sources for jobs and operations in English for
employees who can cultivate and learn more English ability.
- Create an environment, encourage employees to use English at work.

PART 4. SUGGESTION FOR THE SUBJECT OF GRADUATION THESIS
In a dynamic and increasingly globalized world, the importance of English
cannot be denied and ignored as it is commonly used everywhere in the world. English

is considered the most commonly used language on the planet when nearly 60
countries use English as the main language, besides their mother tongue and nearly
100 countries use English as the second language. It can be said that English plays an
important role in daily life from communication to opportunities in studying, working,
expanding relationships for business cooperation.
Gia Vi Company needs to focus on improving the foreign language skills for its
employees. Because it is the best key to help businesses create success when building
an exclusive brand for themselves, even towards a global brand, optimizing employee
performance, strengthen and expand international business relationships.
During my internship at the company, I found that most employees had difficulty
using English. They can hardly hear and understand in conversations, communicate in
English, thereby reducing the efficiency of providing and receiving information. They
also have difficulty in expressing what they want and it is difficult for the audience to
understand what they want to say, which affects other skills such as negotiation,
correspondence, email, etc. create information profiles. When Vietnam has joined the
World Trade Organization (WTO), the business of goods exchange is not only
encapsulated within the country but also cooperates with many different countries in
the world. Currently, in parallel with domestic enterprises, Vietnam also has the
presence of international companies, which are followed by leaders, foreign pillars.
Therefore, without English, we will face many difficulties in such a highly
professional environment.
Besides, the problem that affects the English ability is quite important that is
vocabulary. Vocabulary is the link, linking English skills together. The better the
vocabulary, the richer it will be, the more users will express it, the more confident they
will be in communicating and writing articles.
From practical experience at the company, the basic job skills I have learned. The
actual observation of the use of English in the workplace helped me to have a more
objective view and evaluate the role of English correctly and appropriately. Therefore,
through my own experiences and observations, I will further study the English
Listening Skills of Thuong Mai University third-year students as my graduation thesis.

CONCLUSION
Gia Vi Joint Stock Company is becoming more popular in the market not only in
the field of labor export but also more professional in construction and trading of
machinery. The company faced many challenges and failures during its early stages of
operation. From a very small unit founded by dedicated people, today it is growing
faster.
The company is also promoting and prioritizing the development of key areas of
the company. The import and export department is the heart of an organization that
plays an important role in finding and keeping in touch with suppliers and customers,
as well as expanding the business scale of the business, helping to ensure achieve the
overall achievement of the organization's goals.
I would like to thank Ms. Pham Thu Lan, Head of the Import and Export
Department for helping me complete the report. Moreover, I would like to express my
gratitude to my colleagues who gave me advice, suggestions, aspirations, and
supported me in my work. I have to mention the great working environment and
