INTRODUCTION
English has fast become the most widely used language in the world of trade and
commerce over the past decade. As a result, having an excellent knowledge of English
for business has become vital for success in any employee’s career. Moreover, the
good English is now a requirement for some critical jobs, especially ones related to
import and export activities. It is mainly because almost all forms of business
communication such as email, presentations, sales and marketing and even corporate
legal documentation are now carried out in English.
Acknowledge of the importance of English in business, I have decided to chose
VNLogs Import and Export Joint Stock company as place where I have conditions to
learn, experience practical working environment, enhance knowledge and skills of
English. In fact, VNLogs.,JSC is one of the most prestigious company in the field of
providing import, export and logistics services. The working environment there is very
flexible and creative. For example, I can change my working hour a long as it suits me

and make sure I am able to finish all of the tasks on time. Furthermore, people at
VNLogs.,JSc are also very friendly. They are willing to help, support and share
practical knowledge to help me develop skills at the maximum rate.
Therefore, all of the experience and meaning full lessons at VNLogs., JSC will
be shared through this Internship Report. I hope the report will be a testament to the
achievement that I have gained in VNLogs.,JSC ‘s Internship program, to help me
complete an intern course best and lead to right path for my future career.

1.1.2. The process of establishment and development of the company
Nowadays, global economy has increasingly developed compared to the previous
periods, leading to the strong growth of international trade. More and more
Organizations, businesses or even individuals have engaged in import and export
market, conducted trading activities among countries over the world. As a result,
freight forwarding gradually plays an indispensable role in global trade.
Acknowledging the magnitude of Freight forwarding as well as meeting the
various demands of customer, VNlogs import and Export Joint Stock Company was
established on 21, September 2015 by experienced and professional founders, with the
initial address in 8B Phu Minh street, Co Nhue 2 Ward, Bac Tu Liem District, Hanoi
city. During the newly established stage, there were a few employees and the number
of customers opted for using company’s services was not substantial. Moreover, at that
time, the company also had difficulty in positioning in the competitive market in
which there were many competitors who have had experience in providing freight
forwarding and built trust in customers.
After 2 years of operation in Bac Tu Liem District, the headquarter of Vnlogs.,
JSC decided to move to 49 Alley, Le Duc Tho Street, My Dinh 2 Ward, Nam Tu Liem
District, Hanoi city. With the constant effort and perseverance of the overall
employees, especially sales department, currently, VNlogs., JSC has not only built a
large network of customers but also brought about high quality services with a view to
satisfying all of the customers who trust and use the company’s services. In addition,

with the employees who are enthusiastic, well-trained and have an insight into import
and export procedures as well as transportation process, the company provides a
variety of logistics freight forwarding for customers.
Operating for 5 years, VNLogs JSC is proud of being one of the prestigious
companies specializing in offering freight forwarding services in Vietnam and a main
partner of many brands in Vietnam an other countries in the world such as Tokyo Life,
Pet Mart, Baby Shop, WoongJin, TaeWoong, Kids Plaza, TMS group, 20 Microns,
Paris Gateaux, Viglacera,…
1.1.3. Fundamental business Activities
a. Objectives
VNlogs.,JSC has been established with a view to meeting increasing
requirements of customers in circumstance in which economy is growing and
integrating into the global economy. During the period of operation, the company
always aims to become one of the leading companies in the field of freight forwarding
in Vietnam. In order to establish a widespread network of customers, the company
places an emphasis on providing the best services for customers as well as taking care
of customers carefully. To Vnlogs., JSC, “ each customer is served wholeheartedly like
the only customer of the company” has become a guideline of the company since
established. In particular, all employees in the company believe that a good services
satisfying customers is the best way to make them become long-term customers.
Additionally, the company also strive to develop, improve and expand services to
compete other brands in the market.
VNlogs., JSC has committed to bring about high quality services to customers
with reasonable prices, guarantee to import and export commodities successfully in
short run, and reduce risks in the process of importing and exporting.
b. Main services of the company
As one of prestigious companies in terms of freight forwarding and logistics,
VNlogs.,JSC offer a wide range of services necessary for international trading

activities.
 Service of commissioning import and export
The company provide transportation services which bring about a significant
impact on the business operation, including warehouse, store, warehouse managing
system (WMS), and distribution of commodities.

The company also offer integrated logistics solutions consisting distribution,
managing transportation comprehensively, service of process material, managing real
estate and technology information.
 Service of making customs declaration
On behalf of customers, Vnlogs.,JSc can make customs declaration, inspect
goods at port promptly to save time and cost for customers. The company is proud of
ability to declare customs effectively with reasonable price.
Moreover, VNlogs., JSC possesses staff who have experience in making import
and export documents. In particular, the company has strength in asking for permission
for all of the Certificate of Origin, relieving difficulties, saving costs and time for
customers.
 Specialized examination
There are four main services, including examining quality, quarantine, examining
food safety and labeling energy.
 Other services
Besides the above services, the company also supports customers regarding
other import and export procedures, including:
- Conducting international payment( open L/C, TT,..)
- Organizing to follow consignments all the time.
- Booking container and carrier, making Bill for import and export.
- Preparing documents to make customs declaration according to schedule.

- Searching source of goods as well as signing sales contracts with the best
articles and prices on behalf of customers.
1.1.4. Organization structure
There are four main departments in the company, namely Sales and Marketing
Department, Finance and Accounting Department, Human Resources Department and
Logistics Department. Each department has its own duties which always supports
others with the same aim to help the company develop and increasingly reinforce its
position in the market.

a. Sales and Marketing department
Sales department is the direct link between a company’s services and its
customers. Sales department promotes the growth of the business as well as customer
retention. Sales staff play a vital role in building long-term relationship with
customers. Main duties of sales staff in VNlogs,.JSc are searching customers who want
to import or export goods, provide advice on customs procedures, carrier cost,
tracking.
Marketing department focuses on customers, build promotion projects to expand
the image of the company in the market. In addition, this department always does a
market research to have an insight into customers’ demand with a view to improving
and diversifying the quality of services.
b. Financing and Accounting department
This department directly manages the company’s financial status, takes
responsible for accounting the business activities, manages company’s assets and

capital, sets up financial plans, supervising the implementation of the finance related to
contracts, collects debts and writes financial statement.
c. Human Resources Department
The Department is responsible for managing to recruit and hire employees,
coordinating employee benefits and suggesting employee training and development
strategies.
d. Logistics Department
Logistics Department of VNLogs.,JSC consists of two main division: Document
and Operation.
Document Division is accountable for making documents for imports and exports
such as Bill of Lading, Airway Bill, Arrival Notice, Invoice, Packing List, Sales
contract,…
Operation Division takes responsible for delivering or receiving documents,
paying taxes, going to port or airport, making CO, Insurance or Fumigation for goods.
i. The performance of VNLogs,.JSC in 2015-2019
After 5 yeas of operation, VNLogs.,JSC had gained a lot of achievements
which demonstrates the effort of all staff to develop company.

The table shows the business performance of VNLogs., JSC in term of Number
of customers, Revenue, Profit, during the period from 2015 to 2019. As a whole, there
was a positive change in these factors.
To be more specific, the number of customer witnessed an upward trend during
the timeframe from 4 to 60. Consequently, it led to the dramatic increase in the

Revenue by 1531 million VND from 260 at the end of the period. Regarding Profit, in
the initial year, the company gained no profit, even suffered a loss of 0.05 million
VND. However, the situation was quickly improved with the strong growth in 2018
and 2019 with 788 and 895.5 million respectively.
Obviously, the above numbers partly indicate the positive development of
VNLogs.,JSC as well as the efficiency in the management, operation and building

strategy of MR. Mac Huu Toan in recent years. As can be seen, with the constant effort
of all staff and managers, VNLogs.,JSC has become one of the leading companies in
the field of import, export and logistics.
1.2. General information of the department that I participated internship
program
When I decided to take part in internship program in VNLogs.,JSC, I was given
an opportunity to work in Logistics department as a document intern. As I mentioned
above, this department is divided into two division, namely Document division and
Operation division. There are eight employees in Logistics department, including 5
document employees and 3 operation employees. The main tasks of employees in this
department are dealing with specialized documents, coming to customs agency to
declare goods and other relevant business. The manager of Logistics Department in
VNLogs.,JSC is Mr Dao Quang Anh, who was also my supervisor during my
internship program.

PART 2: THE INTERNSHIP PROCESS IN VNLOGS IMPORT AND EXPORT
JOINT STOCK COMPANY
2.1. The tasks are assigned during the internship
I had an opportunity to work in VNLogs.,JSC for one month from 16 th December
2019 to 10th January 2020. During the internship, I worked as a document employee in

Logistics Department. The tasks I performed were varied and changed according to
each week.
2.1.1. From 16th December to 20th December 2019
On the first day in VNLogs., JSC, I started to get acquainted with the manager of
the department as well as other staff in the company.

I was introduced to my

supervisor, Mr Quang Anh, who has had 8- year experience in Logistics and has been
working there since the first day of establishment. The initial assignment I took on was
reading and studying the documents of the company such as the company’s history and
establishment, the achievements and activities occurring on the daily basis.

Furthermore, I also had to find out information about the Logistics department, which
I was taking part in internship program in order to have an insight into what each
employee was doing and what I would be assigned in the next days.
On the next two days , I continued to research on logistics, import and export
procedures, customs procedures to make declaration for commodities. Besides, my
supervisor also instructed me to study Incoterm 2019( the conditions of delivery in
international trade), how to calculated the value of tax or the price in export
warehouse.
On the other days of the first week, I learned about the necessary documents used
during import and export process such as sales contract, Bill of Lading, Commercial
Invoice, Packing List, Certificate of Origin, Delivery Order, Arrival Notice,.. These
documents were all in English and I had to read and understand them, knew the form
of types of documents and their content.
These knowledge was very important for me to perform the job successfully and

effectively.
At the end of each day, I had to make a report of what I had done as well as
shown what I had not understand in order that the supervisor would instruct me on the
following day.
2.1.2. From 23th December 2019 to 27th December 2020
In the second week of internship, my tasks I performed were various. On the first
three days, my supervisor assigned me to draft some sales contracts, Commercial
Invoices and Packing Lists of the company’s transactions with certain requirements of
customers. Regarding consignments which needed to inspect quality and food security,
I had a chance to go to the relevant Office with a experienced employee to observe the
process of implementation. In addition, to goods needing CO, I was instructed to how
to register for asking for CO as well as necessary documents for this procedure.
Moreover, during this week, I continued to study the international methods of
payment such as Telegraphic Transfer(T/T) and Letter of credit (L/C), two main
methods used often in import and export process. Understanding these modes of
payment would help me and other employees in this department to be able to draft
contract as well as BL correctly.
2.1.3. From 30th December to 3rd January 2020
During this week, I had more tasks to perform. I was taught how to make
customs declaration for goods via a software named Ecuss 5. After having a basic

knowledge of this procedure, I started to practice making customs declaration for some
current consignments of the company with the help of other employees with a view to
become more skilled at this process. On a daily basis, I had to declare at least 5
consignments.
At the same time, each day, I learned about how to check carrier schedules and
the content of a carrier booking. The last two days of the third week, I was assigned to

make a booking with carrier for some consignments of the company. After receiving
Booking confirmation from carrier, I had to send it to the company’s customers via
email. Additionally, I also studied tariff, how to check HS code of commodities and
determine types of tax. At the end of each day, my supervisor instructed me to how to
write an effective email sent to customers.
One of the main task I performed in this week was calculating the tax value of
each commodity, including import tax, VAT or specialized consumption tax. These
kinds of tax are very vital for each document staff to draft price table in the exporter’s
warehouse.
2.1.4. From 6th January to 10th January 2020
The last week in VNLogs.,JSC gave me more experiences. I had a chance to
work via email with some customers of the company and support them to make
necessary documents and declare their consignments. Additionally, I started to study
local charges including types, content, the situation in which they are used and how to
calculate them. Next, my supervisor gave me some documents of a table of logistics
prices of the company to learn about. More importantly, he also taught me how to draft
debit note in order to manage all costs effectively. This debit note will be sent to the
finance and accounting department and then they will send to customers to receive
their payments.
Specially, the most interesting thing during this week was that I was given an
opportunity to come to some warehouses as well as customs branches in Hanoi to
observe the import and export process in reality. This experience was so important for
new document employees because it could help them to have a full understanding of
how import and export activities occur.
2.2. The difficulties and lesson learned during the internship

The internship was an useful experience to me, in which I had difficulties in

dealing with some tasks but also provided me many necessary lessons of practical
experience.
2.2.1. The difficulties
On the first days in VNLogs.,JSC, everything was new to me because working
environment was far different from my university, from the working time, rules as well
as the tasks I was assigned. Moreover, my major at my University is Business English
whereas the company specializes in logistics, import and export filed. Therefore,
every knowledge I studied myself or my supervisor instructed me was really unheardof to me. This led to some main difficulties during the internship there.

a. The first week of the internship
The first week in the company was the most challenging one out of four weeks I
took part in internship program. I had to start to get acquainted to many thing in the
company from staff, rules, and find out information of company. The initial task that I
was assigned had brought about me some difficulties. Firstly, the researching on
information of logistics, import and export procedures sometimes made me confused
as they was completely new and I had not had a chance to study them carefully.
Although I took a course named “Managing international trade operations” at my
university , which gave me basic knowledge of the global trade, what I learned about
in this company was wider and deeper. Therefore, I had to spend a lot of time to have
an overview of them.
The second problems I had was that there were some terminologies in import,
export and logistics area such as Bill of Lading, that I did not know. This sometimes
led to the fact that I misunderstood the details of documents, which could have an
adverse impact on other activities such as drafting sales contract, Invoice, CO,..
b. The second week
The main difficulties I had during this week were not varied. When I was
assigned to draft sales contracts, Packing List, and started to work, I realized that some

theories were not similar to reality. In particular, when drafting contracts, I did not
know how to arrange articles in a certain order and sometimes I forgot some important
articles which made the content of the contract more ambiguous such as term of
payment, origin of commodities, information of delivery.
c. The third week
The tasks that I performed during this week were not much, but they required me
to have an insight into the process of customs declaration and how to make customs
declaration.
The first time I declared current commodity of the company, I felt confused
because there were many complicated steps that I could not understand. For example,
before starting making customs declaration, I had to create a list of importers or
exporters and name of custom branch. After that, I just could fill in the form of
declaration. Besides, there were many processes that was difficult for me to remember
immediately. One of the most thorny problems was checking HS code of commodities

needed to declare. The main reason for this is that if I write a wrong HS code,
consignment could not import and export to foreign countries.
Additionally, in terms of writing email sent to customers, I found it not easy as I
had to follow the rules, form and language of formal email when making transaction
with customers.
d. The final week
The final week to me was not challenging as my expectation. The number of
tasks that I performed was not various. I had more chances to work realistically.
However, studying types of costs as well as having a full understanding of them was
not easy for me, as I sometimes mistook them and calculated them incorrectly.
2.2.2. The lessons from the internship.
However, after all, with the support of my supervisor, I could gain a lot of useful

experiences and valuable lessons that I hardly could attain when I studied at university.
a. Lessons of knowledge
The most interesting lessons I learnt on the initial days in VNLogs.,JSC is
knowledge of import, export and logistics activities. After the internship, I have had an
profound insight into international trade such as import and export procedures,
logistics process as well as customs procedures. In particular, I had a chance to access
documents which are necessary to declare every consignment, including BL,
Commercial Invoice, Sales Contract, PL, CO,… Through studying detail of these
documents, I could determine what kind of situation the import or export processes
needs them, and daft documents for customers correctly. Moreover, with the help of
my supervisor, I knew how to make customs declaration for each consignment, how to
ask for registering inspection of food safety and quality of goods. More importantly, I
had a full understanding of HS code of commodity and the way to check them as well
as many vital knowledge that are relevant to import, export and logistics field.
b. Lessons of skills
Beside useful knowledge gained, the internship also allowed me to improve my
skills, including email writing skills, team work skills and soft skills.
Firstly, the improvement in email writing skills is easy to recognize. Although I
took part in business correspondence at my university, until this internship, I just had a
opportunity to apply what I had learnt into reality. After my supervisor instructed me
to write an email sent to a customer, and showed me what was not correct, I just knew
how to create a formal email with appropriate language and literary style.

Secondly, when I was assigned to do any tasks, I did not perform on my own. I
performed with other interns and employees in this department. Therefore, I learnt
how to cooperate with others, how to become a good team player and how to support
each other. Additionally, other soft skills such as communication skills, computer

proficiency also were improved so much. These kinds of skills were gradually better
compared to the time before I participated in internship program.
c. Chance to practice what I had learnt in University
I have a chance to practice the knowledge I got through textbooks, lectures and
notes. I realize that the knowledge I have learnt in my university is fairly correlated
with what I have done during internship such as the knowledge of managing
international business operations. Besides, I also learned something very interesting in
import and export field which I have never discovered before.
d. Other lessons
This internship is really an important experience that I have ever had. It helped
me to become more confident to deal with any sudden problems. In a working
environment, I have realized that it is not similar to when I was at university. I had to
follow the rules and disciplines of the company, I could not do what I choose freely
like before. Moreover, internship is an opportunity for me to learn from experienced
people around me from how to work effectively to how to be flexible in any
circumstances.

PART 3: THE STATUS OF USING ENGLISH IN VNLOGS.,JSC
3.1. Description of status of English use of staff in the company
3.1.1 The general status
In recent years, integrating into global economy is the inevitable trend to almost
every country. Vietnam is not an exception, especially in the developing period. To be
able to take all advantages of international integration, our country is in need of a
competent workforce that has not only a profound understanding of specialized affairs
but also good foreign languages and soft skills. Therefore, English has become

increasingly essential, serving as the key to bring about opportunities in exploiting
new markets and seeking


investors with the final aim to enhance business

productivity. It is just because the companies which do not use English are more likely
to leave behind their competitions. This could become worse when the number of
businesses using English is increasingly growing.
VNLogs.,JSC is a company with many foreign partners, and currently expanding
relationship with other partners all over the world. Therefore, English is an important
requirement for any candidates who have desire to work for the company.

Overall, the majority of people in the company use English frequently at work. In
particular, as can be seen from the table, there are 5 people who have a good command

of English, and 3 people can use English at the basic level in four skills( listening skill,
reading skill, writing skill and speaking skill).
However, it can not denied that while the number of employees who are good at
all four skills is few, one- fifth of staff in the company only can be proficient at
listening and reading skills. To other employees, they are only able to write and speak
at a basic level., who are working in Logistics Department.

It is evident that the majority of staff in Sales and Marketing department can use
English. In particular, there are 3 employees who are frequent in four skills, one using
four skills basically, one good at reading and listening skills and one having basic
writing and speaking skills. Therefore, when meeting foreign partners, some sales
employees sometimes feel confused and cannot express all messages and information
they want to provide because of their basic English level.
In terms of logistics department, three-fifth of employees in this department just
have basic speaking and writing skills whereas reading and writing skill plays an vital
role in the process of dealing with import, export and logistics documents.

After doing a research during the internship, I have obtained a lot of data of the
number of employees who are good at writing business correspondence as well as
reading specialized document. In particular, there are 11 people who excel at drafting
business correspondence, which occupies a half of all staff in the company and 10

people who have a good reading skill. This means that overall, many employees could
have ability to work well in English. However, the worrying issue here is that a half of
employees are not proficient

at writing business correspondence and reading


documents, or just uses these skills basically.
In general, the English use of staff in the company is still limited, as their
language ability has not been placed more importance on. Moreover, the English level
of a half of employees cannot meet the communication requirement that international
trade needs.
3.1.2. The difficulties resulted from the ability to use English of employees.
 As I have mentioned above, the number of employees who are good at reading
and writing skills are not high, leading to some difficulties while they are working
because they are the people who constantly tackle English documents such as CO, BL,
CI,.. as well as sending business correspondence like email to their customers. For
example, if a document employee could not know how to write a formal email that is
sent to a new partner to inform he or she that consignment has made customs
declaration, that partner could feel dissatisfied as this is the first transaction and they
are not in each other’s pockets. The main reason for this is that an informal email is
only used in case two partners are in each other pockets and know others well.
Regarding other departments, the number of staff has a good command of English is
few compared to the departments mentioned above.
 Speaking skill also plays an vital role in every business transaction, especially
to sales and marketing department. However, some staff in this department of
VNLOgs.,JSC are not proficient at speaking.

Therefore, when meeting foreign

partners, some sales employees sometimes feel confused and cannot express all
messages and information they want to provide because of their basic English level.
In conclusion, the ability to use English has a considerable bearing on the
effectiveness of work, and thus affects company’s profit.
In general, these difficulties have an adverse impact on the working productivity
and effectiveness of all staff in the company in short run. This could lead to the loss of
profits in the long term if these problems are not be tackled.

3.2. Proposal of solutions to improve English competence of VNlogs.,JSC
employees.

Acknowledge of the importance of English in working environment in these
days, I suggest some ways with a view to helping employees in the company enhance
their English ability, which could allow them to work more effectively.
Firstly, the company should create conditions for all staff to improve the English
level by support them to take part in some English business communication courses in
short run. Besides, employees should be encouraged to communicate with others in
English as much as possible in order to have good reflexes of using foreign language.
For example, the company can organize a competition every month that employees
have a chance to talk and share everything in English.
Secondly, the company should prioritize candidates who are good at English in
the process of recruitment as it is one of the best ways to make working environment
more professional and other staff are likely to have more opportunities to have access
to English more regularly.
Besides, to the department which usually use English such as Logistics
Department or Sales and Marketing departments, VNLogs.,JSC should encourage
employees to make reports in English and write English emails that are not only sent
to foreign customers but also the managers.
Additionally, the company can pay high salary for staff who have a good
command of English, which could create a motivation for them to better their English
skills.
Finally, the conferences sharing and discussing the importance of learning
English are really necessary for company. Because through these conferences,
employees could be aware of improving English skills and applying them more during
working process.

PART 4: SUGGESTED TREND FOR THE THESIS
In the context of global economy, Vietnam is making the biggest effort to keep up
with rich countries and to become a great nation in the world. Therefore, integration is
an inevitable requirement not only for Vietnam but also for others over the world.
Accordingly, international trade has become one of the key in Vietnamese economy,
which leads to the fact that English is increasingly being placed more importance on.
However, we all know that while it is not easy for everyone to learn English,
especially writing and speaking skills, the ability to use this language in the workplace
has a number of benefits including helping company to succeed, building trust with
colleagues and clients and establishing strong relationship with international partners.
From my internship at VNLogs.,JSC, I saw that there was a half of employees
who could are not good at drafting business correspondence whereas business
correspondence is an dispensable communication tools in many companies,
particularly in the ones which specialize in import, export and logistics field.
Moreover, this skill is also very important to each student who would like to land a
job as well as climb the career ladder in the future.
Acknowledging of the vital role of email- writing skill and having a desire to
studying carefully the status of skill in drafting business correspondence of students,
therefore , I would like to suggest the following thesis topic :
“ Improving the ability to write business correspondence of Thuong Mai
University students”

CONCLUSION
After about one month of training process at VNLogs.,JSC, I had finished my
internship successfully with the whole-hearted help and careful guidance of my
supervisor Mr. Dao Quang Anh, as well as other employees in the company. They
guided and encouraged me to overcome all the toughest challenges and difficulties
during working time. However, this also brought about me many practical experience
and a lot of interesting knowledge of a document employee.
Firstly, I would like to thank VNLogs.,JSC which has created conditions for me
to take part in internship program and complete this report.
Secondly, I would like to express my sincere thanks to my supervisor for her
proper guidance that helped me finish my training process successfully. During the
internship in VNLogs.,JSC, I gained a lot of experiences in import, export

and

logistics field and improved my English skills, especially business English ones.
In conclusion, I would like to give special thanks to all staff in VNLogs.,JSC for
helping me to get acquainted to a new job and a new field that I have never chance to
have access to before.
