CHAPTER 2: PRACTICAL EXPERIENCES
1. What I have done
During the practice process for nearly 2 months, from 17/02/2014 to
13/04/2014 in IDCO, I had opportunities to do practical tasks as an assistant.
When I firstly arrived, I didn’t know what I should do during my internship,
therefore, Mr Nguyen Van Toan, the Deputy Director of the company, is also my
supervisor, who introduced me to the Company’s Personnel Department. I worked
as an assistant to Director in the company. Assistant practice is not simple, but also
not too difficult as I thought. Thanked to the help of the company’s staff, I
completely finished my internship in a good mood.
The assistant to director’s duties are giving some advices to the Director in
many fields such as business, financial strategies, preparing all documents and
records relating to the boss’s forthcoming conferences, on behalf of the employers
to meet the customer, handling every trouble situations when the boos is absent,
controlling of the financial situation of the company, summing up all the parts and

reporting for boss. They were not simple duties for a new apprentice like me, so I
always tried my best to do well what I was assigned. And, the first work I had to do
in my internship is learning about my duties. Not only I learnt how I can make a
work style in the career but also I learnt about a lot of knowledge what I need in the
future.
When I really understood about the tasks which I had to do, Mr Toan
assigned me some English and Vietnamese contracts to translate into bilingual
contracts for him. And then, I helped him and his staffs do some work which
relating to my major such as: answered the phone from the foreign partners,
received faxes, translated mails from English into Vietnamese and vice versa,
arranged and prepared documents, sorted and handed out mails, a switchboard,
setted appointments, filing, records keeping, keyboarding entry and performed a
variety of other office tasks, such as received, directed and relayed telephone
messages and faxed messages, picked up and delivered the mail, opened and dated
stamp all general correspondence, maintained the general filing system and filing all
correspondence, assisted in the planning and preparation of meetings, conferences
and conference telephone calls.… Sometimes, as an assistant, I had to perform
bookkeeping or cashiering duties. Of course, the assistant could serve coffee or tea
to guests, and to keep lobbying area tidy. Consequently, so that giving satisfaction
with fastidious customers, I must be patient and harmony. I had to learn to
sympathize with and listen to all requests from customers.

8

Anything in life may be difficult, however, fortunately, I got enthusiasm help
from my guider step by step. As an official assistant, I tried to type some contracts
by myself and asked the secretary to help me check my mistakes. In the 6 th week,
the IDCO.JSC had a cooperation and development seminar with foreign partner,
and my duties were help the secretary do some necessary works such as: typing

documents, arranging the workforce, finding information about the partners, writing
an English speech for Director to present on this Friday, attending the seminar as an
interpreter for Vice Director. It was an interesting experience for me.
In summary, this is a job which requires neat appearance, good sense of
humor and clear speaking voice. Hence, I loved this job, it gave me a patient virtue,
professional working style.
I spent seven weeks practising in the IDCO.JSC. I went to the company 5
days a week. And my working time table is dependent on the working time table of
the company.
Office time: - In the morning: from 8a.m to 11:30 a.m
- In the afternoon: from 1:30 P.m to 5:15 P.m
2. New skills aquired and skills improved
Through 8 weeks of training process at IDCO & Consulting Joint Stock
Company, I got a lot valuable working experience and soft skills which are very
useful in my future work.
Because IDCO & Consulting Joint Stock Company is a company which
specializes in building design and consulting, so I learnt a lot of English
terminologies and definitions about this major. I also understood about the mode of
operation, structure as well as marketing formality of a consulting company. In
addition, I understood clearly about the assistant’s roles, functions and duties. I
could also clarify and arrange the work more scientifically and logically. I also
learnt the way to send and receive fax, print and photocopy documents…etc. Those
will help me to meet basic requirements that an office staff must have. For example,
I knew how to deliver advertisements effectively while many people don't know.
Especially I also learned so many important skills in dealing with customers and
working with staffs. Although my practice time was not so long, the internship
course at the company made me more confident and patient than as I was. I have
also improved skills that I gained at university, for example, skills to translate the
documents and interpret conversations as well as four skills of English: reading,
listening, speaking and writing. I had chances to practice these skills in real

situations; therefore, I recognized my weak point and strong point. As an assistant at
the company, I also learned some good attitudes like attentiveness, initiative,

9

loyalty, maturity, respect for confidentiality and discretion, a positive attitude and
independence.
3. Management Techniques Observed

During the internship time in IDCO & Consulting Joint Stock Company,
besides practicing working skills, I also paid my attention to how the others
implemented the tasks. I took notes of some typical management techniques as
following:
Financial management techniques: the IDCO.JSC has financial department
to control closely the financial matters. All the information and transactions are
stored in hosting machine. And staff’s salary is paid through ATM card.
Staff management techniques and method: The company set rules for all
staff. Neither the memo nor the workshops motivated staff to lead activities, but
after the staff were scheduled to lead such activities and given performance
feedback. The administration of this facility has adopted similar procedures to
maintain such activities on all wards.
Time management techniques: all staffs have go to work and leave office
on time. If anyone come late, they will be fined.
4. Classroom Skilled Employed

The main purpose of internship is to get the students exposed to the job
world. Being an intern, the main challenge was to integrate classroom education
with practical experience in enabling graduates to develop their professional
knowledge and professional skills.

Through my internship I had an opportunity to apply skills that I learned into
the job, especially translating and speaking skills. Because my main task was
translating contracts, mails, faxes, sometimes, I also attended a foreign customer
conference with Board of Director.
4.1 Communication skill.
As I already learnt this skill in University, I have basic knowledge to apply in
my job. Communication plays an important role in business and it is one of crucial
factors to make the success. Communication skill is the ability to effectively
communicate thoughts and ideas in my communication in writing and by phone. It
helps me listen to others, build trust and respect the opinions and view points of
others.

10

4.2

Body language.
People can contact the others in many different ways, not necessarily always
direct. Usually, I can know what the others is trying to say through body language.
4.3
Teamwork.
Teamwork skill is the ability to work effectively in teams that I could use to
get the best results and I had many results in my work at company. To take part in
teamwork effectively, I have applied some skills as following:

Listening: This is one of the most important skills. The members need to
listen to each others’ opinions. I often listened all ideas to understand, then give my
ideas to discuss.

Question: By the way people ask questions, we can identify the level of
interaction and discussion capabilities and raise the issue for their members. I would
make questions when I do not understand which my partners give as well as when I
give my ideas to group to contribute the ideas and create new thought.

Persuasion: The members must discuss and consider to come up what ideas
and I needed to know how to protect my opinions and persuade the others to agree
with this point as well as other members’.

Respect: Each team’s member must respect the opinions of others, especially,
encourage, support each other and attempt to turn them into reality.

.Sharing: Opinions and reports of members in group is one of the methods
they show what they think about work and problems. I always share my ideas and
reports with my partners to find and solve the problems more effectively and
scientifically.

5. Problems Encountered

During eight weeks practice in the IDCO. JSC, I clearly acquired a lot of
knowledge from the Board of Director’s enthusiastic guidance, however, I also met
some difficulties as an apprentice meet.
Firstly, I felt embarrassed when I met some customers who are prissy in
negotiation. They always asked me to give a lot of company’s information or
complained about such trifles. It was not easy for a student to deal with this
problem, but after all, I garthered more communicated experiences in many
situations.
Secondly, sometimes, building terminology was my limitation. In class, I
learnt more about economy, politics, education, tourism…, so some difficult new
terms drove me mad and I didn’t know how to interpret them into English such as:

11

“đá dăm”, “đá hộc”, “chống kèo”…And then, I phoned my supervisor to ask for
help.
Another problem was that students of Vinh University had few opportunities
to meet and communicate with foreigners. Therefore, when I had to meet foreign
customers, I feel confused. On the other hand, when I had chances to communicate
with the foreigners I found difficult to hear exactly what they are saying.
To overcome these obstacles and difficulties, I always took full advance of
chances to communicate with foreigner to improve my listening and speaking skills.
I was also willing to learn from other people and tried to get chances for practicing
working skill as much as possible. Thanks to this, my interpreting skill has
improved, the customers were more satisfied with my capability.
6. Lesson Learned

I learned valuable information and gained a professional experience that is
relevant and directly related to major.
The first and also the most important thing I learnt is this the lesson off
behavior at work place. I know that when we work with other people, we should be
friendly, honest and enthusiastic in doing work. Especially, we should be disciplined
and prestigious people because this shows that we respect our partners. Therefore,
they also respect us and they are willing to help us.
I also learned a lot about working skills. I had opportunity to do translation in
many new fields such as trade professional, state law, export and import…It was
really not easy for me. However, this work helped me to enrich my vocabulary. And
I could make good my shortcomings in translation.
In addition, working in an active and professional environment I have
learned working styles there. I also learned more about applying modern technology

for work as well as working under pressure which must be very useful for me to
work in the future.

12

CHAPTER 3: CONCLUSION
In sum up, the time of practice bring us a lot of benefits. Thank for this
practice period, I had many chances to test what I learned in university in reality. I
was equipped fully knowledge in theory that will be the first basic experiences for
my future job.
The management of IDCO & Consulting Joint Stock Company is taking
strategic steps to enable the company to emerge as a strong and progressive
institution. It continues making efforts to refine its products and operations to make
them more compatible. New deposit schemes have been introduced and an action
plan to maintain revenue growth in future.
During my internship at IDCO & Consulting Joint Stock Company I have
learned many new things in spite of the knowledge gained at university and also
came to conclusion that education alone is not enough, practical training in every
field is crucial to become a successful manager. I have also learned a lot. It was a
great experience for me.
The company has great image due to the trust but it needs to use it
effectively to increase market share. Also the flaws in branch operations such as
misallocation of resources should be rectified.
As the business and economic conditions remain uncertain, IDCO &
Consulting Joint Stock Company continues to develop the new products like it has
been doing in past.

13

CHAPTER 4: RECOMMENDATIONS
Working with IDCO & Consulting Joint Stock Company was a lifetime
experience for me. I have learnt a lot from my internship with the company. The
overall working experience, the workplace environment, the help from the seniors
and many more was excellent. Throughout my experience and the problems I
encountered during my practice process, I would like to contribute some ideas to
Foreign Language Pedagogy Department with the hope to improve our quality of
training as following:
- Design the project and include enough detail to make the work
appealing to students. Offering several alternative projects will make it more likely
that you will get an intern.
- Increase amount of time for major subjects such as translation,
interpreting and English for Law, tourism…Student should be taught these subjects
from the 1st to build them up with basic knowledge of theory and then bring them
more chances to practicing.
- Involve the student in the work place, including exposure to “real world”
issues such as funding, and meeting all members of the organization. Similarly,
learn from your intern about the current issues and concerns of college students.
Ask them about their job fantasies and try to help them explore career options.
Expose the student to the work that professionals do at the work site and, if feasible,
take or send the students on a field trip to another site where the student can meet
other professionals. Invite the intern to attend staff meetings or go with staff to
educational meetings. Remind student to know that the internship is a professional
development opportunity and not just a grade.
- Open more classes of teaching communicate skill as Vinh Univesity
English Speaking Zone for students.
- Create opportunities for student meet foreigners in order to improve their
skills and make them more confident for the internship and their future job.
Finally, I would to give some advices for students who preparing for

internship. If having chances, you should link with companies to cooperate and

14

work part time while you are learning in university. In order to avoid being
confused at the first time going to the company you should surf documents about
the company you are going to take part in practicing to have good preparation. You
also should enrich yourselves new words about the field of the company that you
are going to practice. The last thing is you should be always friendly, active, helpful
and studious when you are in your internship place.
